The Front Desk - Patient Service Representative serves as the first point of contact for patients, delivering outstanding customer service while managing all front desk operations. This role is responsible for patient registration, scheduling, handling inquiries, and supporting daily administrative functions to ensure a seamless and efficient workflow. The position operates under the direct supervision of the Supervisor/Practice Manager.
Key Responsibilities:
- Patient Registration & Payment Processing: Greet and register patients promptly, verify addresses and insurance status, and collect any copays or outstanding balances.
- Data Entry & Record Management: Accurately scan and input patient demographic details, insurance information, and other essential data.
- Communication & Coordination: Address patient inquiries and concerns professionally, ensuring timely resolution or escalating issues to the Supervisor/Practice Manager as needed.
- Scheduling & Referrals: Schedule patient appointments and facilitate specialist referrals and imaging orders by faxing necessary records, following company procedures and provider protocols.
- Follow-Up Scheduling: Schedule follow-up appointments for all patients upon check-out to maintain continuity of care.
- Provider Schedule Management: Maintain and optimize provider schedules to ensure efficient patient flow. Confirm and coordinate patient appointments as needed.
- Confidentiality & Compliance: Uphold strict confidentiality of patient, employee, legal, and financial information in compliance with company policies and HIPAA regulations.
- Process Improvement: Assist in developing and enhancing systems for accurate patient registration and administrative efficiency. Provide recommendations to improve workflow and patient experience.
- Other Duties: Perform additional tasks as assigned by the Supervisor/Practice Manager.
