What are the responsibilities and job description for the Full Charge Bookkeeper position at Southern States Management Group, Inc.?
Provide homeowner association and condominium bookkeeping services in support of the day-to-day management of community association clients. The ideal candidate would have exceptional verbal and written communication skills, be very tech savvy, customer service oriented, organized, have serious attention to detail, and is able to work in a fast-paced environment. Previous experience in condominium/homeowner association, real estate, land development, construction and/or insurance industries preferable. We are looking for someone who takes ownership of their role.
Job Duties: Administer financial reporting responsibilities including the underlying accounts payable, general ledger, account reconciliation, etc. activities. Specific duties may include, but are not limited to, the following:
Accounts Payable:
· Review and process check requests and assure/validate proper coding, vendor (payee) information, invoice number, date, amount, etc.
· Utilize online AP system (Strongroom/AvidXchange) to secure manager and board member approval for disbursement of funds.
· Circulate checks for signature and file client specific documentation.
· Track and where appropriate, reissue uncleared or stale checks.
· Process intrafund transfers (i.e., reserve contributions).
· Work with community managers to confirm vendor insurance, EIN, business licenses, etc.
Financial Reporting:
· Prepare budget worksheet documents in anticipation of the upcoming fiscal year.
· Reconcile all bank statements and post interest income.
· Process journal entries to accrue recurring prepaid expenses.
· Review month and year-to-date results to identify variances and validate or correct variances as appropriate.
· Review delinquent and prepaid owner balances.
· Generate and publish monthly financial statement to include balance sheet, income statement, and other reports.

Formal Education: Minimum of high school diploma or GED
Technical Capabilities: Proficient with Microsoft Office suite and web-based applications and a high comfort level with general office machines (copiers, scanners, phones, etc.).
Other Requirements: The staffing environment for this position is that of a clerical or office setting. This position routinely uses standard office equipment such as computers, telephones, photocopiers, filing cabinets, etc. This is a largely sedentary role, however sufficient mobility to access various locations throughout the community is necessary.
