POSITION SUMMARY: Under general supervision of the Executive Assistant, performs administrative, clerical, and a wide variety of office support for the Tribal Housing Department. Serves as the primary point of contact for general requests and information and assists in the coordination of all functions and activities related to construction projects, housing projects, and other Department programs.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Performs administrative, secretarial, and front desk support for the Housing Department and associated programs and Divisions.
2. Plans, prepares, and/or coordinates meetings, conferences, and travel for Director and other department personnel as required or assigned.
3. Assists Executive Assistant and other Department personnel with drafting, submitting, and filing correspondence and documents.
4. Develops and maintains a working knowledge of all applicable codes, ordinances, regulations, and Policies and Procedures, and performs all work in compliance with these standards.
5. Develops and maintains a working knowledge and familiarity with Departmental projects, project related consultants, contractors, clients, and locale.
6. Assists in preparing and processing Construction Pay Applications, Professional Services Invoices, and other project documents for review.
7. Assists with Departmental Budget preparation, documentation, and coordination as directed.
8. Assists the Executive Assistant with preparing monthly rental invoices and assisting with lease agreements, billing, and coordination with tenants for all rental units managed through Tribal Housing, as required.
9. Picks up, delivers, and logs all mail and answers, screens, logs, and directs multi-line telephone calls as well as assisting callers with their requests.
10. Maintains an adequate inventory of office and program supplies, first aid supplies, fire extinguishers, break room supplies, and office equipment used by the administration.
11. Maintains and utilizes accurate filing system for office records in hard copy and electronically.
12. Attends staff meetings and training as requested.
13. Responsible for taking and recording jobsite meeting minutes, staff meeting minutes and any other meetings that are necessary.
14. Performs other job-related duties as assigned by the Executive Assistant or Department Director.
QUALIFICATIONS:
Must have High School Diploma or Equivalent.
Must have 2 years of full-time experience in a secretarial/clerical capacity.
Must have 1 year of computer experience to include extensive experience in all Microsoft Office software, PDF editing software, and internet usage.
Must have experience taking meeting minutes.
Must have general knowledge of budget and accounting procedures.
Must have experience establishing and/or maintaining accurate and retrievable filing systems.
Must have valid Driver’s license for state of residency and be insurable under the Tribal Vehicle Insurance Policy.
Must pass a thorough criminal history background check and pre-employment drug test.
PREFERRED QUALIFICATIONS:
Possession of or ability to obtain a Notary Public Certification.
Experience in construction management procedures and processes.
Experience assisting in the development and review of agreements and contracts.
Experience in the development and administration of construction budgets.
Construction accounting experience.
