Job Purpose
At Southland Physical Therapy, we’re looking for a dedicated Patient Care Coordinator to join our team. In this role, you will play a key part in creating a welcoming, professional environment that reflects our core values and mission. Your responsibilities will include providing outstanding customer service, maintaining attention to detail, and ensuring smooth organization of patient visit schedules and daily operations. We are committed to delivering top-quality outpatient physical therapy care, with a focus on providing an exceptional patient experience that helps individuals live happy and live well.

Please note: This position is considered a 'float' role and will require coverage at our Irvine office when needed.

Key Responsibilities

  • Create a professional and welcoming atmosphere for patients during check-in and check-out.
  • Clearly communicate and explain insurance coverage details to patients.
  • Manage patient authorizations and request renewals when necessary.
  • Maintain and organize the patient schedule, managing the waitlist to ensure timely access to care.
  • Answer incoming calls, direct them to the appropriate staff, or take detailed messages.
  • Address patient inquiries and escalate concerns to the Office Manager as needed.
  • Accurately collect copays and process billing transactions.
  • Troubleshoot minor office equipment issues to ensure smooth operations.
  • Maintain discretion and integrity in all job-related tasks.
  • Ensure compliance with HIPAA standards and Southland Physical Therapy policies.
  • Keep the front office lobby clean, organized, and presentable.

Qualifications

Required:

  • Bilingual-Spanish
  • High school diploma or equivalent.
  • At least 1 year of customer service experience.
  • Strong interpersonal and communication skills (both written and verbal).
  • Exceptional organizational skills and attention to detail, with the ability to prioritize tasks efficiently.
  • Proficient with a multi-line phone system and professional phone etiquette.

Preferred:

  • Previous scheduling experience.
  • Experience with Google Suite.

Working Conditions

  • Full-time position.
  • Fast-paced office environment with standard office equipment, including computers, phones, photocopiers, and fax machines.
  • Travel to other offices as required.

Physical Requirements

  • Ability to lift up to 20 lbs.
  • Prolonged periods of sitting.
  • Ability to view reports, emails, and EMR on a computer screen for extended periods.

Job Type: Full-time

Pay: $17.00 - $21.00 per hour
