Position Summary
The Alumni Coordinator plays a key role in promoting Southwest Christian School’s mission, vision, and values to its alumni, students, and broader community. As the primary liaison between Southwest Christian School (SCS) and its alumni, this position fosters lifelong connections and pride in the SCS legacy. The Alumni Coordinator will engage daily with the school community, cultivating relationships with alumni and inspiring current students to build a vibrant future alumni community. This role will identify, engage, support, and strengthen ties with alumni, working closely with the SCS Alumni Council to implement new engagement initiatives and drive signature events such as the Alumni Homecoming Tailgate. These efforts deepen the involvement of active alumni while re-engaging others. Additionally, the Alumni Coordinator will be a shepherd for the Legacy Family program to increase the involvement among alumni whose children are currently enrolled at SCS.
Essential Job Responsibilities
- Align alumni engagement goals to the overall mission, branding, and school goals
- Collaborate with the SCS Alumni Council to develop and execute strategies to engage alumni and encourage their participation in the School’s activities and initiatives
- Maintain accurate and comprehensive alumni records within Almabase (alumni management software), tracking updates, milestones, achievements, and involvement
- Regularly communicate with alumni through a variety of channels (social media, email, in-person)
- Promote alumni impact stories to enhance SCS awareness and inspire current students
- Plan and execute a variety of alumni events (networking events, Homecoming Tailgate, etc.) from start to finish, including logistics, catering, onsite management during the event, and evaluation afterward
- Establish, monitor, and report on alumni engagement metrics to assess program effectiveness
- Oversee and coordinate Alumni Association sponsored scholarships
- As part of the Advancement team, collaborate to identify alumni philanthropic opportunities, support campaigns, and special projects
- Partner with relevant school departments to ensure strong bonds are established and maintained with alumni
Requirements
Educational & Experience Requirements
- Alumni of SCS are highly desired in this role due to the perspective they hold in our community; identifying with SCS stakeholders is a key component of this role
- Bachelor’s degree in a related field (Communications, Public Relations, Education)
- Experience in event planning or project management is strongly preferred
- Must be a confident, personal communicator, able to build relationships and encourage a “Forever Eagle” family feel
- Must be knowledgeable about leveraging the power of social media (Facebook, Instagram, LinkedIn) to establish and deepen connections across diverse age demographics
- Possess evidence of other adequate preparation, background, or experience as determined by the school administrator and/or hiring committee

- Demonstrates the ability to accept and carry out responsibilities and make competent, professional decisions
- Eagerly participates in professional development activities and the evaluation process, with a desire to grow professionally, spiritually, and personally throughout the career in education
- Maintains a professional personal appearance that is a Christian role model of cleanliness, modesty, good taste, and is in accordance with school policy
Work Environment
The work environment is typical of a school-office setting and is not generally exposed to adverse environmental conditions. The person in the role generally uses computers and other office equipment in the performance of the job duties. The role may also require evening and weekend work activities to support events and activities planned and managed by the Advancement Department.
