What are the responsibilities and job description for the Enrollment Technician position at Southwest Technical College?
Job Summary:
Performs frontline student services functions, including but not limited to enrollment, registration, and support services, along with the data entry/maintenance and paperwork associated with these student services functions to assist all students at Southwest Technical College, and in compliance with accreditation standards and federal regulations such as ADA and FERPA. The position may also support financial aid-related functions as needed, such as assisting students with general processes and providing guidance within established policies. This person follows the policies and procedures that apply to Southwest Technical College and serves as the front office representative for Southwest Technical College, including greeting visitors and students, providing information within his or her scope of knowledge, and referring incoming and interoffice calls and inquiries.
Schedule: M-F 8:30 AM - 5:30 PM
Essential Functions:
- Cheerfully and professionally welcomes and attends to all visitors, students, and faculty, determines their needs, provides information and services, and directs them to the proper person and/or office.
- Answers incoming telephone and text inquiries. Routes external calls to relevant departments and personnel.
- Performs routine miscellaneous clerical tasks such as filing, making copies, and compiling written communication as directed.
- Assists students in enrolling for school; receives and receipts money; assists in recording financial transactions in appropriate ledgers; assists with financial aid information, transcripts, intervention, and other student service-related duties as directed.
- Facilitate and sustain open communication channels with various departments within Student Services and across the college.
- Assists with recruiting students for classes and programs identified with low enrollment.
- Assist in the preparation and execution of student events and other college activities.
- Performs related or other duties as assigned, including work in other functional areas to cover absences or relief, to equalize peak work periods, or otherwise to balance the workload.
- Assist with financial aid processes, including reviewing applications, supporting scholarship disbursement, and providing guidance to students on financial aid resources and requirements.
Qualifications:
To perform at a proficient level and to be fully qualified, a person would be expected to have:
- Education: High School Diploma or equivalent required.
- Specialized Knowledge/Skills:
- Experience in data entry, receipting, filing, phone etiquette, and composition of simple business letters.
- Organizational skills with a high degree of efficiency and accuracy.
- Strong experience with Microsoft Word and Excel
- Experience: One to three years of experience in student services is preferred; a strong customer service background is required. Experience with financial aid processes or student financial counseling is a plus.
- Background Check: Must be able to pass a background check.
Environmental Factors:
Conventional Educational Environment. In some programs, employees may occasionally be exposed to cleaning chemicals and the hazards associated with their respective industry equipment.
