Fast paced Food Service Distributor is currently seeking experienced Administrative Assistant for our Transportation department to work at our Distribution Center. We are seeking experienced, dependable, organized, team player preferably with a background in administrative support within a distribution environment.
Schedule - Friday through Monday 11:00am - 7:30p
RESPONSIBILITIES
Performs administrative and office support activities for multiple supervisors and managers. Duties will include fielding telephone calls, receiving and directing visitors, written correspondence, filing, faxing, processing paperwork, and supporting corporate HR initiatives. Must be capable of performing multiple duties at a time.
Specific Responsibilities include:
Priorities
Relieve management of administrative detail for all projects
Coordinate work flow
Update and chase delegated tasks to ensure progress to deadlines
Keep projects on schedule
Compose correspondence / reports
Process replies on own initiative or from managers notes
Phone
Handle all inquiries within your capacity
Provide back-up materials for callbacks
Route calls elsewhere as needed
Update mail/phone directories
ESSENTIAL DUTIES
Input time sheets into E-Time and report all hours to payroll for processing
Work with the Corporate HR Team to keep your facility up to date with changes pertaining to your department
Process new hire paperwork and conduct orientation for new employee’s
Process termination paperwork and coordinate processing with corporate HR team
Screen phone calls / inquiries as needed
Routinely re-order department supplies
WORK EXPERIENCE REQUIREMENTS
Prefer a minimum of 10 years’ experience working in an administrative role (preferably within a distribution environment)
Previous experience working in transportation with an understanding of DOT regulations is highly desirable
A background in HR is highly desirable
Strong written and verbal communication skills
Exceptional customer service skills
Must be extremely well organized and work well under pressure
Must have strong understanding and currently work with the following computer programs:
Microsoft: Windows, Office, Work, Power Point
Outlook
Excel
EDUCATION REQUIREMENTS
A minimum of 10 years administrative experience (preferably in a distribution environment).
A combination of education (Bachelor Degree or higher) and work experience is acceptable in lieu of 10 year work history
WORKING CONDITIONS
Standard office conditions apply. May require occasional light lifting, bending, reaching and walking. Long hours spent at an office work station in front of a computer monitor. Heavy phone calls both inbound and outbound and communicating regularly in both verbal and written form to SWT’s clients, employees and managers alike.
