Southwest Value Partners (SWVP), a privately held real estate investment company, is seeking an Office Administrator to join its team. SWVP invests in institutional quality real estate in growth markets throughout the United States. SWVP has a disciplined and high energy approach to asset acquisition, operating execution, value creation, asset disposition, and development.
The Office Administrator ensures overall professional and efficient admin office operations through coordination of all front and back-office activities, participates in the department’s continuous improvement, and supports areas related to human resources. The Office Administrator will deliver quality work in a timely professional manner, and will possess the ability to communicate effectively with both internal personnel and external third parties.
The Office Administrator must be comfortable managing competing priorities and providing solutions to challenges that arise. This position reports to the Director of Talent & Culture Development.
Responsibilities:
- Manage reception duties by welcoming visitors, answering phones, accepting deliveries, and preparing outgoing mail.
- Regularly order and maintain stock of office supplies, including but not limited to general office supplies, breakroom food and beverages, and cleaning supplies, ensuring consistent availability.
- Maintain common office areas through set up, cleaning, and organization to promote functional and well-presented areas (e.g. breakroom, supply and copy area, etc.).
- Ensure proper mail and delivery distribution via in-person and scanning documents to the correct recipient.
- Assist with maintaining accurate records for vendor management, vendor account access, supply inventory, and administrative work instructions/manuals to support efficient operations.
- Partner with vendors and IT to ensure office equipment is maintained, repaired, or replaced as needed.
- Participate in monitoring licenses, subscriptions, and training records to ensure accurate assignments, timely renewals to avoid service interruptions, and compliance.
- Act as primary liaison between staff and building management to facilitate coordination of maintenance and resolve facility related issues.
- Participate in culture development through ideation and planning of events to foster a positive and engaging culture.
- Support in the preparation of personnel expense reports, collecting backup documentation of office expenses, allocating costs correctly, recording incoming checks, requesting and filing time allocation reports.
- Monitor and manage personnel access of the office suite to maintain a secure office environment.
- Prepare correspondence and respond to emails timely and in a professional manner.
- Evaluate processes, procedures, equipment, and suppliers and make recommendations for continuous improvements.
Qualifications:
- Associate's degree required; or equivalent combination of education, training, and work experience
- Minimum 3 years’ office administration experience required
- Experience with human resources, recruiting, and event planning a plus
- Proficient in Microsoft Suite (Word, Excel, Outlook, PowerPoint, Teams, and SharePoint) and experience with Adobe
- Ability to meticulously review and analyze work to ensure accuracy, completeness, and compliance with company standards
- Self-motivated with proven ability to work independently and be a self-starter in low periods of business cycle activity, taking initiative to find useful endeavors that serve the office well
- Proven ability to troubleshoot and problem solve
- Excellent verbal, written and interpersonal communication skills
- Demonstrated customer relations skills and ability to work in a team environment
- Possesses time management and multi-tasking skills, with the ability to prioritize tasks
- Ability to handle confidential information in a professional manner and possess good decision-making skills
- Ability to lift 50 lbs., bend, and kneel required
