Front Office Receptionist (Tazewell)
Job Summary
Southwest Virginia Community Health Systems is an organization made up of Federally Qualified Health Centers that serves the area of rural Southwest Virginia. We have been serving patients for over 40 years and are currently seeking a Front Office Receptionist to join our team!
Southwest Virginia Community Health Systems (SVCHS) consists of a group of non-profit Community Healthcare Centers, a Migrant Health Network, an Integrative Behavioral Healthcare Program, a Substance Abuse Recovery Program, and the Southwest Virginia Regional Dental Center. SVCHS was established to improve access to healthcare services by providing comprehensive, patient-centered care to the communities we serve.

Specific Duties and Responsibilities:
- Greets patients and answers telephone in a courteous and professional manner, addresses questions.
- Ensures patient confidentially, and provides patients with needed information.
- Schedules/reschedules appointments for both clinical and dental patients and maintains smooth patient flow throughout clinic.
- Gathers primary, secondary, and third party payment information.
- Ensures that each patient is advised of the Sliding Fee Scale and makes adjustments accordingly.
- Collects and receives patient co-pays as applicable. Advises patients of any outstanding balances and directs to billing office as needed.
- Collects and maintains accurate patient registration and demographic data at each visit.
- Redirects calls to clinical or dental staff as is appropriate.
- Scanning information into the appropriate patient’s documents in the electronic health record.
- Handles telephone refill requests.
- Prepares and mails welcome packets for new patients or no-show letters as directed in Policy 1301.
- Sorts and distributes incoming mail or faxes to appropriate staff. Assists in faxing outgoing documents as needed.
- Reconciles daily report detail and prepares deposits. In the absence of site manager, takes deposits to bank and mail to post office.
- Provides receipt, visit summary, and next appointment to all patients at the end of the visit, and if applicable, work/school excuses as directed by provider.
- Assist patients with medical records releases or other forms as needed.
- Performs other necessary duties required by the site manager, senior management, or CEO/Executive Director to meet the goal of providing primary health care.
Qualifications
- High school diploma or equivalent. Associates degree in health care management, business management, or related field preferred.
- Experience in a medical office.
- Proficient with Microsoft Office products including Word, Excel, and Outlook.
- Ability to maintain confidentiality.
- Ability to multi-task and deal with stressful situations.
- Ability to communicate in person, electronically, or on the phone with staff, patients, and general public.
