Job Summary
The faculty assistant provides support for the administration of the day-to-day operations of the physician assistant program by providing administrative and clerical support to the program director, faculty, and students in the physician assistant program. This is a FT non-exempt, 12-month position, reporting to the PA Program Director.

Primary Duties & Responsibilities
- Prepare and manage external and internal communication in person, through written correspondence, and over the phone
- Coordinate calendar schedule for program director, divisional meetings, and departmental events
- Provide clerical and technical support for physician assistant program staff
- Maintain office supplies
- Learn to work within and manage reports using the college’s administrative software programs
- Assist in monitoring budget expenditures.
- Process purchase requisitions, purchase orders, and invoices; manage receipts and reconcile purchase card statements.
- Participate in and record minutes for divisional faculty meetings
- Assist program director with assessment and accreditation processes
- Perform miscellaneous job-related duties as assigned
- Coordinate and maintain student records
- Documentation of admission requirements for students entering the program (ie. Background checks, drug screening, etc.)
- Planning of programmatic events (ie. Student interviews, white coat ceremony, graduation events)
Required Qualifications
- High school diploma and a minimum 2 years office management experience
- Ability to interact with employees, vendors, and co-workers in a professional manner and communicate effectively and timely, both verbally and in writing
- Ability to prioritize and manage tasks for completion while at the same time effectively handling departmental needs
- Ability to gather, assemble, and analyze relevant data and draw appropriate, reasonable, and actionable conclusions therefrom
- Strong computer proficiency, including Microsoft Excel and Word
- Positive and proactive team attitude
Preferred Qualifications & Special Skills
- Bachelor’s degree preferred
- Ability to notice and focus on details
- Ability to work with a team or independently
