Position Overview : We are seeking a punctual, highly-organized office facilitator to support the day-to-day operations of our office. In this dynamic role, you will work closely with the Sovereign Brands’ marketing and logistics departments to ensure a welcoming environment for our team and frequent visitors while supporting the office’s administrative and operational needs. This is a full-time in-office role based in New York City and this position reports to the Director of Marketing and Communications.
Primary Responsibilities :
General administrative and receptionist duties
Answer phones, take and distribute messages or transfer calls
Greet visitors and guests
Provide support to the marketing and logistics teams
Interact with and manage select vendors including contractors, cleaning staff and building management
Shipping & Logistics
Securely pack and ship all requests that come through the New York office
Fulfill product pickups and drop-offs
Maintain inventory and restock shipping supplies
Receive, sort and distribute incoming mail and deliveries daily
- Arrange messenger pick up or delivery
Assist in coordinating office visits and content shoots
Maintain sets and content rooms
Ensure sets are always clear and ready for use
Ensure all lights and displays are powered on and functioning properly
Manage office repairs and set designs including overseeing contractors for set redesign project
Manage company office accounts, to include obtaining approvals, purchasing, and following appropriate company policies and procedures
Other duties as assigned
Qualifications :
Associate’s degree preferred
Minimum 1-2 years of relevant work experience
Proficiency in Microsoft Office
Excellent written and verbal communication skills
Ability to communicate with all levels of the organization
Highly organized and detail-oriented
Problem-solving and critical thinking skills
Ability to manage projects from inception to final execution with little supervision
Commitment to meeting deadlines and going the extra mile
Ability to multi-task and work in a fast-paced environment
Position is in office, Monday – Friday from 9 : 00am – 6 : 00pm Eastern
Physical Demands and Work Environment :
Frequently required to sit, stand and walk
