Position Summary:
The Scheduler plays a critical role in coordinating and optimizing the daily scheduling of surgical procedures within our outpatient ambulatory surgery center. This position requires exceptional communication, organizational, and multitasking skills to ensure efficient surgery scheduling, patient satisfaction, and adherence to clinical and regulatory protocols. A high attention to detail and excellent computer proficiency is a must.
Key Responsibilities:
- Coordinate and schedule surgical procedures for multiple physicians in accordance with facility guidelines and availability.
- Obtain all necessary information for each case including patient demographics, insurance details, and surgical requirements.
- Enter and maintain accurate data in the scheduling system (e.g., EHR, EMR, scheduling software).
- Enter all key appointment details accurately into the HST system, this includes demographics, surgical details and anesthesia preferences. Ensuring completeness and compliance with scheduling protocols.
- Communicate effectively with surgeons, anesthesia providers, clinical staff, and patients to confirm scheduling logistics.
- Ensure pre-operative testing and clearances are completed and documented prior to surgery.
- Verify insurance eligibility and benefits; coordinate prior authorizations if necessary.
- Notify patients of surgical dates, arrival times, pre-operative instructions, and any documentation required.
- Maintain confidentiality and comply with HIPAA and all other regulatory requirements.
- Collaborate with clinical and administrative teams to resolve conflicts and scheduling issues proactively.
Qualifications:
- High School Diploma or equivalent required; Associate’s degree preferred.
- Minimum of 1–2 years of experience in medical scheduling, preferably in a surgical or outpatient setting.
- Familiarity with medical terminology and surgical procedures.
- Proficient in EMR/EHR systems and Microsoft Office (Word, Excel, Outlook).
- Strong customer service orientation and communication skills.
- Ability to prioritize and manage multiple tasks in a fast-paced environment.
Preferred Skills:
- Experience working in an ambulatory surgery center (ASC).
- Knowledge of insurance verification and pre-certification processes.
- Bilingual skills a plus.
Work Environment:
This role is performed in a clinical office and administrative setting. Occasional patient interaction may occur. The Scheduler may be required to sit for extended periods and use standard office equipment.
