We are currently seeking a highly organized and proactive Executive Assistant to support our CEO, as well as our HR, Payroll, and Warehouse Management teams.

Job Summary

The Executive Assistant will play a pivotal role in ensuring the smooth and efficient operation of our executive office and supporting various departments. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. The ideal candidate will be a reliable and resourceful professional who can anticipate the needs of the executive team and facilitate effective communication across departments.

Key Responsibilities

  • Executive Support:
  • Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and organize documents, presentations, and reports for executive meetings.
  • Handle confidential information with discretion and maintain a high level of professionalism.
  • HR Assistance:
  • Assist the HR Manager with recruitment processes, including scheduling interviews and onboarding new employees.
  • Maintain employee records and support HR-related documentation and reporting.
  • Coordinate training sessions and employee engagement activities.
  • Payroll Support:
  • Collaborate with the Payroll Manager to ensure accurate and timely processing of payroll.
  • Assist with payroll data entry, verification, and resolving discrepancies.
  • Maintain payroll records and support compliance with relevant regulations.
  • Warehouse Management Support:
  • Assist the Warehouse Manager in coordinating logistics, inventory management, and order fulfillment.
  • Facilitate communication between the warehouse team and other departments to ensure seamless operations.
  • Help prepare reports and analyze warehouse performance metrics.
  • General Administrative Tasks:
  • Manage incoming and outgoing communications, including emails, phone calls, and mail.
  • Organize and maintain filing systems, both electronic and physical.
  • Coordinate office supplies and equipment maintenance.

Qualifications

  • Education:
  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • Experience:
  • Minimum of 3 years of experience as an Executive Assistant or in a similar administrative role.
  • Experience supporting multiple departments is highly desirable.
  • Technical Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with HR and payroll software is a plus.
  • Ability to quickly learn and adapt to new technologies and systems.
