Job Summary/Company: Sparks Group has partnered with a community association seeking administrative support to ensure the smooth operation of our daily office functions. You will be the backbone of our office, providing essential support to our staff and maintaining a clean, efficient, and welcoming environment.
Responsibilities:
Maintain General Common Areas and Office Equipment:
Replenish supplies in kitchens, work rooms, storage, conference rooms, and sanitation stations.
Ensure cleanliness and organization of all common areas.
Submit and track equipment service requests for copiers, printers, postage meters, and vending machines.
Provide Staff Assistance:
Download monthly copier reports for accounts payable.
Complete year-end office supply inventory for finance.
Set up conference rooms for meetings.
Schedule and manage courier runs.
Process office supply orders and return requests.
Assist with printing and collating projects.
Facilitate furniture set-up and moves.
Oversee Daily Mail Run:
Manage incoming and outgoing USPS and FedEx mail.
Assist New Hires:
Prepare new hire boxes and assist with pick-up/delivery.
Provide training on office equipment and review relevant procedures.
Conduct office and building common area tours.
Other Roles and Duties:
Serve as a safety warden, ensuring staff are safely evacuated during emergencies.
Provide back-up receptionist duties, including monitoring switchboard voicemail and relaying messages.
Update the SharePoint phone list.
Qualifications/Background Profile:
Associate's degree and/or 3 years of relevant experience
Proficient with MS Office
Ability to lift up to 50lbs
High level of professionalism and tact in office environment
Must be able to work 30hours/week (6hrs/day)
