Job Summary / Company : Sparks Group has partnered with a well known CPA and Consulting firm in the Richmond, VA area that is seeking an Administrative Assistant for a contract opportunity. Responsibilities :

  • Maintain strict confidentiality, both within the company and with external parties.
  • Manage the front lobby, including opening and closing procedures (locking doors, adjusting blinds, and turning off lights).
  • Ensure the front lobby and all conference rooms are well-maintained and adequately supplied.
  • Utilize technology for tasks such as composing correspondence (letters, memos, etc.), conducting internet research, and other duties.
  • Perform standard administrative tasks, including copying, faxing, and scanning documents.
  • Act as the primary communication hub for staff, disseminating key updates regarding Operations, Administration, and Facilities.
  • Prepare invoices and statements for mailing (folding and stuffing).
  • Process daily bank deposits.
  • Update the company intranet with weather-related closure information.
  • Maintain the break room / kitchen area, including operating the dishwasher and replenishing supplies.
  • Order snacks, beverages, cleaning supplies, and office supplies as needed.
  • Track expenses for monthly reconciliation and budget recording.
  • Onboard new clients.
  • Manage the check-in / check-out of client documents.
  • Prepare and track FedEx / UPS shipments and certified mail.
  • Process certified mail receipts.
  • Perform other assigned duties, which may include cross-training and providing backup support for various CSC tasks, as well as assisting with scanning and assembling tax filings.

Qualifications / Background Profile :

  • A high school diploma is required.
  • Four years of relevant experience, or an equivalent combination of education and experience, is necessary.
  • Proficiency in Microsoft Office Suite applications is essential.
  • A high degree of integrity and discretion regarding confidential information is expected.
  • Excellent verbal and written communication skills are a must.
  • The ability to multitask effectively is crucial.
  • Familiarity with company policies and procedures is desired.
  • A positive, self-motivated attitude is important.
  • Must be able to pass a background check.
  • This job is In-Person.
