Job Overview:
We are looking for a highly organized and detail-oriented Office Clerk to support our finance and operations teams. This role will be essential in maintaining accurate documentation for daily operations, ensuring smooth invoicing procedures, and facilitating the timely and accurate collection of essential logistics documents. The ideal candidate will have a solid understanding of logistics processes and the ability to manage various clerical tasks in a fast-paced, deadline-driven environment.
Key Responsibilities:
- Documentation Management (BOLs, PODs, Load Tenders):
- Assist the finance and operations teams in collecting, validating, and organizing Bill of Lading (BOL) forms, Proof of Delivery (POD) documents, and load tenders on a daily basis.
- Ensure all documentation is accurate, complete, and properly stored to facilitate invoice procedures.
- Track and maintain a filing system for all logistics documents, ensuring timely access and retrieval.
- Data Entry and Recordkeeping:
- Perform data entry tasks with a focus on accuracy, especially with regard to logistics and shipping details.
- Maintain and update logistics and financial databases, ensuring information is organized and current.
- Assist in tracking and managing inventory data as required by the finance and/or operations team.
- Office Organization and Supplies:
- Organize and maintain common areas, ensuring a clean and organized office environment.
- Customer Service and Interaction:
- Greet visitors and clients, ensuring a professional and welcoming atmosphere.
Requirements:
- High school diploma or equivalent required; additional logistics or business certifications are a plus.
- Previous experience in logistics, shipping, or office administration preferred.
- Familiarity with logistics documentation, such as BOLs, PODs, and load tenders.
- Strong organizational skills with the ability to handle multiple tasks and meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and logistics management software (e.g., TMS, WMS) is a plus.
- Strong attention to detail and accuracy in handling logistics documentation and data entry.
- Good communication skills, both verbal and written.
- Ability to work well with teams in fast-paced, deadline-driven environments.
- Basic knowledge of shipping, transportation, and inventory management processes.
- Ability to maintain confidentiality and handle sensitive information.
Working Conditions:
- Full-time in-office position, Monday through Friday.
