Description
An exciting opportunity for an Administrative Coordinator to join a fast-paced, growing fitness and wellness franchise.
This is a hybrid role in the Nashville area supporting multiple executives under the guidance of the Executive Assistant.
Duties/Responsibilities:
- Answer inquiries and point people in point them in the right direction.
- Organize and maintain files and databases in a confidential manner
- Receive and forward communications to different staff and departments
- Manage voicemail and forward to appropriate party
- Schedule appointments, meetings, and reservations as needed
- Receive deliveries; sort and distribute incoming mail
- Coordinate staff travel arrangements including transportation and accommodations when necessary
- Ensure meeting spaces are properly requisitioned ahead of schedule
- Work collaboratively with other departments to help solve clerical issues
- Offer assistance to accounting department on projects when assistance is needed
- Confer with other department to provide assistance on projects when assistance is needed
- Provide assistance to staff, managers, and senior-level officers as needed
- Create, prepare, and deliver reports to various departments as needed
- Perform clerical duties, such as filing, faxing, answering phone calls, and responding to emails
- Ensure conference rooms and other meeting spaces are prepared prior to use
Qualifications
- 2-3 years of clerical, secretarial, or office experience
- Proficient computer skills, including Microsoft Office
- Strong verbal and written communication skills
- Comfort multitasking and handling multiple requests from different individuals and departments
- Ability to work quickly and in a potentially high-stress environment
- Strong communication skills and extremely self-motivated when managing communication channels
- Independently motivated, with the ability to take on tasks and duties without immediate direction
- High degree of attention to detail
- Data entry experience
- Highly organized and capable of creating organizational systems that others easily utilize
- Knowledge of, or ability to quickly acquire, familiarity with the roles and function of the assigned department, and any specifically applicable laws or guidelines
