Description

An exciting opportunity for an Administrative Coordinator to join a fast-paced, growing fitness and wellness franchise. 

This is a hybrid role in the Nashville area supporting multiple executives under the guidance of the Executive Assistant. 

Duties/Responsibilities:

  • Answer inquiries and point people in point them in the right direction.
  • Organize and maintain files and databases in a confidential manner
  • Receive and forward communications to different staff and departments
  • Manage voicemail and forward to appropriate party
  • Schedule appointments, meetings, and reservations as needed
  • Receive deliveries; sort and distribute incoming mail
  • Coordinate staff travel arrangements including transportation and accommodations when necessary
  • Ensure meeting spaces are properly requisitioned ahead of schedule
  • Work collaboratively with other departments to help solve clerical issues
  • Offer assistance to accounting department on projects when assistance is needed
  • Confer with other department to provide assistance on projects when assistance is needed
  • Provide assistance to staff, managers, and senior-level officers as needed
  • Create, prepare, and deliver reports to various departments as needed
  • Perform clerical duties, such as filing, faxing, answering phone calls, and responding to emails
  • Ensure conference rooms and other meeting spaces are prepared prior to use

Qualifications


  • 2-3 years of clerical, secretarial, or office experience
  • Proficient computer skills, including Microsoft Office
  • Strong verbal and written communication skills
  • Comfort multitasking and handling multiple requests from different individuals and departments
  • Ability to work quickly and in a potentially high-stress environment
  • Strong communication skills and extremely self-motivated when managing communication channels
  • Independently motivated, with the ability to take on tasks and duties without immediate direction
  • High degree of attention to detail
  • Data entry experience
  • Highly organized and capable of creating organizational systems that others easily utilize
  • Knowledge of, or ability to quickly acquire, familiarity with the roles and function of the assigned department, and any specifically applicable laws or guidelines
