Job Summary:
The Customer Service Representative/Receptionist manages incoming calls, schedules service appointments, and ensures a seamless customer experience. This role requires strong communication skills, multitasking ability, and a customer-first mindset. The ideal candidate is proactive, organized, and thrives in a fast-paced environment.
Key Responsibilities:
- Answer and manage inbound calls on a multi-line phone system, directing calls to the appropriate department.
- Greet and assist customers in a professional and friendly manner.
- Schedule service appointments and coordinate technician dispatch.
- Provide accurate information about company services and products.
- Maintain customer records and input data into company software systems.
- Process work orders, invoices, and other administrative documents.
- Respond to emails and inquiries in a timely and professional manner.
- Assist in office operations, including filing, data entry, and inventory tracking.
- Communicate effectively with customers, technicians, and team members to ensure seamless service delivery.
- Support administrative tasks such as scheduling inspections and handling permits.
Requirements & Qualifications:
- Minimum of 2 years of customer service or receptionist experience in an office setting (HVAC or mechanical industry experience is a plus).
- Strong verbal and written communication skills.
- Excellent organizational skills with the ability to multitask in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with CRM or scheduling software is a plus.
- High school diploma or equivalent required.
- Ability to remain calm, professional, and courteous under pressure.
- A team player with a positive attitude and a commitment to providing excellent customer service.
