Position Summary
The Staffing & Scheduling Coordinator is responsible for the management of staffing data collection and coordination of day-to-day scheduling practices. The Staffing and Scheduling Coordinator assists with system-wide efforts for staffing and scheduling standardization in alignment with the organizational strategic operating plan. The Staffing and Scheduling Coordinator is responsible for coordinating the day-to-day management of staffing and scheduling operations throughout the system. The Staffing and Scheduling Coordinator serves as a point of contact and resource specialist for staffing, scheduling, and schedule-based timekeeping.
Minimum Requirements
Education
- Associate’s Degree in Business Administration, Human Resource, or related field.
Experience
- 1-2 years experience in staffing, scheduling, and timekeeping, or related areas.
- Proficient in Microsoft Office computer systems such as Excel, Word, PowerPoint, and SharePoint.
- Experience in Healthcare environment.
- Proficient in UKG Advanced Scheduling or related electronic scheduling software.
License/Registration/Certifications
- N/A
Preferred Requirements
Preferred Education
- Bachelor’s Degree preferred.
Preferred Experience
- Previous experience with timekeeping
- Previous experience with departmental scheduling
- Lean Six Sigma Yellow Belt or related process improvement experience.

Core Job Responsibilities
- Gathers, analyzes, and presents staffing and scheduling data, using appropriate data management tools.
- Collaborates with assigned areas to facilitate data management needs.
- Develops detailed data analysis tools.
- Identifies and effectively communicates staffing and schedule related data trends, patterns, and practices.
- Collaborates with team and leaders to ensure accuracy, integrity, validity, reliability, and consistency in data management.
- Retrieves, analyzes, and interprets data from informative systems, notifying key stakeholders as appropriate to correct operations.
- Creates and updates daily staffing reports in collaboration with teammates for Staffing and Labor Management Office.
- Coordinates and monitors daily staffing workflow.
- Collects weekly staffing data regarding system-wide staffing and scheduling shift needs.
- Maintains knowledge of UKG Advanced Scheduler or current scheduling software.
- Serves as a change champion for HRIS in Advanced Scheduling, acting as a change agent in alignment with operational goals.
- Supports integration of standard work practices.
- Communicates with leaders on a regular basis to identify operational concerns and improvement initiatives.
- Interacts professionally and communicates effectively with internal and external stakeholders.
- Collaborates with teammates in data collection for nursing vacancies, nurse hiring and onboarding, and contracted labor allocation.
- Collaboration with Nursing Administration to ensure safe staffing assignments.
- Collaborates with Nursing Administrative Supervisor for daily staffing updates and concerns and capacity management.
- Day-to-day resource allocation.
- Maintains a professional relationship while serving as a liaison between associates and leaders regarding staffing assignments.
- Manage call-ins from associates via SRHS Staffing Phone Line, notifying Nursing Administration and department leaders as appropriate.
- Collaborates with Nursing Administrative Supervisors, Charge Nurses, Nurse Managers, and Nurse Directors to ensure that associates are floated to other areas within the associate’s competency
- Manages on call and call-in utilization data.
- Oversees scheduling timeline for nursing departments.
- Serve as admin for SLM electronic mailbox, with a 24-business-hour response time as appropriate.
- Works with minimal oversight, requesting assistance appropriately.
