Job Summary: The HR Coordinator Intern is a key team member responsible for supporting and managing daily Human Resources functions, ensuring smooth HR operations and fostering a positive workplace culture. Reporting to the HR Manager, this role involves recruitment, onboarding, payroll support, compliance, and assisting with employee engagement initiatives.
Recruitment & Onboarding:
- Manage job postings, screen resumes, and schedule and conduct phone screens.
- Assist in onboarding, including paperwork and orientation programs.
- Maintain accurate and confidential employee records, including personnel files and required documentation.
- Ensure compliance with federal, state, and local employment laws and regulations.
- Process employee status changes and updates and ensure records are up-to-date.
- Provide clerical support to the HR department and contribute to process improvements.
- Oversee temporary employees' timecards and coordinate with staffing agencies to ensure accurate records and timely payroll processing.
- Organize employee engagement activities, meetings, and community-related initiatives.
- Print, distribute, and post employee recognitions to highlight achievements and build morale.
- Collaborate on special HR initiatives such as diversity, equity, and inclusion programs.
- Serve as the first point of contact for visitors and callers, greeting guests and managing inquiries with professionalism and courtesy while maintaining ITAR compliance.
- Ensure supplies are consistently maintained and restocked to meet operational needs.
- Verify daily that the front lobby and guest areas are to cleanliness standards as defined by leadership
Qualifications:
- Pursuing a bachelor’s degree in Human Resources, Business Administration, or a related field (preferred).
- General knowledge of HR and payroll laws and best practices.
- Proficient in Office Suite (Word, Excel, PowerPoint, Outlook).
- Written and verbal communication skills, with the ability to craft clear, concise, and professional messages tailored to various audiences.
- Strong interpersonal communication and customer service capabilities, including the ability to confidently interact with executives, senior leaders, staff at all levels, and external partners or visitors, ensuring professionalism and fostering positive relationships.
- Strong organizational skills with meticulous attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
- Professionalism, discretion, and sensitivity when handling confidential information.
