Description
POSITION SUMMARY
This position is responsible for providing support in all areas of Corporate fiscal matters. Assists Accountant in Financial Department with daily activities.
ESSENTIAL RESPONSIBILITES
- Staff member stays in contact with other essential staff members through meetings, staffing’s, and telecommunications.
- Staff member communicates readily with Supervisor on bids, cash deposits, mail and other significant financial information
- Maintain privacy of all stakeholder, employee and volunteer information and access such information only on a need to know basis for business purposes.
- Comply with all regulations regarding corporate integrity and security obligations. Report unethical; fraudulent or unlawful behavior or activity.
- Position must adhere to employee grievance, incident reporting, client grievance, and abuse/neglect/confidentiality reporting procedures.
- Position helps ensure fiscal compliance for contracts administered by Agency.
- Communicates with coworkers, general public, and other service providers in a friendly, cooperative and professional manner
- May act as a corporate customer service representative in organization related capacities.
- Position helps ensure that business office activities; i.e. accounting, fiscal reporting, internal controls, etc. are adhered to.
Fiscal Responsibilities:
- Prepares bids for advertising; including specifications of merchandise
- Position is responsible for assisting Accountant in processing daily mail.
- Position is responsible for depositing checks, processing return mail, running credit cards. All information will then be transferred to USMSO.
- Position will aid in daily cash deposits under direct supervision.
- Assists purchasing department processing purchase orders and invoices through MIP.
Audit Responsibilities:
- Position helps coordinate annual independent financial audits and funding source audits. Position will help in performing financial audits for subcontractors.
General:
- Position covers front desk half a day. Greeting individuals visiting the office in a timely and professional manner.
- Assist with Time & Effort if needed
- Weekly filing
- Other duties as assigned
- Position helps ensure that purchasing, contract and employee expense procedures are followed.
Qualifications
QUALIFICATIONS:
- Requires a valid Texas Driver’s License, appropriate driving record and auto insurance (travel required)
- Bachelor’s Degree in accounting, business or related experience
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
- Excellent verbal and written communication skills
- Proficient in Microsoft Office or related software necessary to create and maintain reports and logs
