Location : Headquarters, Washington, D.C. (Hybrid work setting, 2 days in the office per week)

Reports to : Assistant Controller

FLSA Status : Exempt

Salary Range for US Based Staff : $69,329 - $81,563

Position Summary :

The Senior Manager, Accounts Payable is responsible for the management, maintenance and process implementation of all activities related to the disbursements of cash from the organization. The Senior Manager manages and works with their respective team ensuring that all invoices are properly coded and paid in a timely manner, to ensure vendors, suppliers and service providers receive accurate payment. This includes Programs and employees who request funds and / or expense reimbursements and all other outgoing financial transactions. The Senior Manager understands that timely completion of tasks, duties, and responsibilities are critical to the Finance function within the organization and thus is the primary job responsibility. In addition, the Senior Manager will work with other Finance management staff in the assessment and implementation of systemic business process and payables improvements that promote greater efficiency. The position reports to the Assistant Controller.

Primary Responsibilities :

This position has responsibility over the organization's payables activities and processes. The Senior Manager will proactively engage in solving problems through close collaboration with Finance and other Departments. Key responsibilities include the following :

  • Management and oversight of all disbursement from the organization's accounts including the following :

Vendors and Supplier payments

  • Consultant payments
  • Grants Payments & Program Distributions
  • Travel and Employee Claims;
  • Ensure timely and accurate data entry of AP submissions, including the following :
  • Review of documentation for adequacy and accuracy

  • Verification of appropriate level of approval authority
  • Ensuring proper adherence to policies and procedures;
  • Review and manage the work of the Accounts Payable team, including one Accounts Payable Manager and one Accounts Payable Specialist; provide training and oversee growth and performance;
  • Receive and review contracts to ensure that invoices are in compliance with the terms and conditions listed;
  • Oversee the maintenance and organization of the Accounts Payable files;
  • Train and mentor employees on the team to facilitate consistency in application of internal controls and expense policies;
  • Facilitate the reconciliation of Visa credit card transactions for over 100 corporate credit cards; ensure accurate coding of expenses and application of policy;
  • Develop and maintain work plan and deadlines for high volume department;
  • Assess and identify process improvements to drive ongoing efficiency for the unit;
  • Review and coordinate all AP activities required for monthly close, including but not limited to requesting and recording accrued expenses from all departments, programs and budget officers, and preparing monthly unreconciled credit card accrual;
  • Perform monthly balance sheet reconciliations;
  • Provide analysis and preparation of reports to be utilized by Finance team;
  • Review AP documents for interim and annual audit, as well as the 990;
  • Implement improvements to policies, procedures, internal controls, and tools that realize greater operating efficiencies and enhanced customer service support as directed by the Assistant Controller;
  • Responsible for the effective completion of other duties as assigned.
  • Qualifications :

  • A bachelor's degree or equivalent professional experience plus Four to Seven years of relevant work experience. Experience and / or coursework in the area of Accounting / Accounts Payable Experience is a plus.
  • Supervisory experience strongly desired;
  • Ability to assess and resolve a wide range of issues in creative ways;
  • Advanced Excel skills (pivot tables, vlookups, filters, etc.) desired;
  • General knowledge and / or working experience with financial operations required;
  • Experience in key finance and accounting functions as related to payments and accounts payable processing desired, including prepaid and accrual accounting, and strategic business decision support ;
  • Knowledge of MS Navision and / or Concur expense and vendor management desired; payment processing system experience required;
  • Moderate written, oral and persuasion skills required;
  • Must be professional and diplomatic at all times;
  • Attention to detail and works well under pressure;
  • An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and work experience listed above.
