JOB TITLE : PreOp Coordinator

Core Job Code : Medical Assistant

Essential Functions :

The PreOp Coordinator is responsible for reviewing patients' medical histories, ensuring all necessary diagnostic information is complete, and supporting the preoperative process. This includes verifying lab work, EKGs, chest X-rays, and escalating concerns to Anesthesia or the Clinical Manager. The Anesthesia team provides the final clearance for surgical procedures.

Supervision Received : Administrator and clinical leadership

Experience Required :

  • Minimum of 3 years of experience in a healthcare setting.
  • Experience communicating effectively with physician offices.
  • Strong attention to detail and organizational skills.

Key Responsibilities :

Clinical Duties :

  • Desk-based role focused on preoperative assessments.
  • Administrative Duties :

  • Prepare patient charts for surgery, reviewing medical history and relevant health information.
  • Communicate with Ambulatory Surgery Center (ASC) providers and primary care physicians to gather necessary medical documentation.
  • Maintain strong communication and interpersonal relationships with physician offices.
  • Ensure accuracy and completeness of patient histories.
  • Utilize medical terminology proficiently.
  • Collaborate effectively with clinical and business office teams within the ASC.
  • Proficiency with electronic medical records (EMR) systems, particularly UCLA and Kaiser platforms.
  • Adhere to HIPAA regulations and maintain patient confidentiality.
  • Use pre-op instruction sheets as guides for communication with physician offices.
  • Organize and prioritize tasks efficiently.
  • Job Duties :

  • Verify the presence of completed consent forms, history & physical (H&P) documents, and surgeon’s orders in patient charts.
  • Consult with anesthesiologists regarding any health concerns or abnormalities.
  • Request pre-op tests as ordered by physicians if not already included in the patient’s chart.
  • Obtain or coordinate lab tests, EKGs, and cardiac clearances as needed per anesthesia requests.
  • Review test results, identifying and reporting any abnormalities to surgeons and anesthesiologists.
  • Provide detailed medical histories to the anesthesia team for preoperative review.
  • Qualifications : Required :

  • Ability to work both independently and collaboratively in a healthcare environment.
  • Proficient in identifying and reporting abnormal medical histories, life-threatening conditions, and concerning medications to the Clinical Manager or Anesthesia team.
  • Skilled in recognizing abnormal laboratory values and escalating appropriately.
  • Proficiency with computerized patient care systems and Windows operating systems.
  • Physical / Mental Demands :

  • Requires the ability to sit for extended periods while performing desk-based tasks.
  • Occasional standing, walking, bending, or reaching may be required.
  • Ability to perform repetitive hand and wrist motions related to computer use.
  • Must be able to lift and carry up to 10 pounds occasionally.
  • Visual acuity is required to review patient charts and computer screens
  • Environmental Working Conditions :

    Normal busy office environment with much telephone work. For the majority of our positions this would be a climate-controlled office environment during normal business hours. Occasional evening and / or weekend work.
