We are seeking a highly detail-oriented, numbers-driven, and design-enthusiast Procurement Manager to join our passionate team at Spectrum Interior Design. This role requires someone seasoned in complex, custom interior design procurement, with deep expertise in Studio Designer software and a true appreciation for transforming vision into reality through flawless execution. You’ll be the heartbeat of our design-to-installation process—overseeing and managing everything from quoting to final delivery.

Key Responsibilities

Quoting & Vendor Specifications

  • Review all design specs and selections in collaboration with the design team.
  • Source and request detailed quotes, including custom finish options, COM/COL requirements, and technical dimensions.
  • Evaluate and compare vendor bids to ensure pricing accuracy and scope clarity.
  • Maintain a working knowledge of lead times, product availability, and vendor reliability.

Purchase Orders & Order Processing

  • Generate and issue POs via Studio Designer with accuracy and completeness.
  • Verify all details: product specs, quantities, dimensions, finishes, unit pricing, tax/shipping, and payment terms.
  • Coordinate with vendors to ensure all order confirmations (acknowledgements) reflect PO details exactly.
  • Manage vendor deposits and payment schedules with precision, aligning with project cash flow and timelines.

Order Management & Expediting

  • Maintain and update detailed procurement logs and Studio Designer status fields.
  • Proactively follow up on lead times, production progress, and ship dates.
  • Troubleshoot proactively with vendors and freight carriers to avoid delays.
  • Communicate updates to the internal team and anticipate ripple effects across schedules.

Receiving, Quality Control & Warehousing

  • Coordinate with receivers and warehouses for all incoming shipments.
  • Track and confirm delivery dates, damages, shortages, and overages.
  • File and manage freight claims and coordinate replacement processes efficiently.
  • Maintain detailed product condition reports and photographic documentation.

Installation & Final Coordination

  • Create comprehensive install-day packets with labeled drawings, room locations, and product details.
  • Coordinate white-glove delivery, installations, and room-by-room staging with the design team.
  • Confirm that every piece is accounted for, installed correctly, and documented for client turnover.
  • Support punch list resolution and item reordering, if necessary.

Accounting, Documentation & Reporting

  • Reconcile vendor invoices with POs and delivery confirmations.
  • Maintain updated budget tracking per project, flagging discrepancies.
  • Assist in compiling client billing packages in coordination with our accounting and design teams.
  • Run Studio Designer reports on order status, open balances, and project summaries.

Required Qualifications

  • Minimum 5 years of procurement experience in a luxury interior design or architectural firm.
  • Fluent in Studio Designer software—must be confident and capable with PO entry, invoicing, and reporting functions.
  • Strong working knowledge of custom furniture, textiles, hardware, lighting, and FF&E.
  • Experience managing a large volume of highly custom, high-value orders.
  • Superior Excel and digital organization skills.
  • Exceptional attention to detail, numerical accuracy, and follow-through.
  • Excellent written and verbal communication skills.
