Job Overview :

We are seeking a highly organized, professional, and proactive Executive Assistant to provide comprehensive administrative support to multiple executives. The ideal candidate will have a solid background in government settings, offering a blend of excellent communication skills, time management, and the ability to navigate the complexities of calendar and travel management across domestic and international settings. This position requires someone who thrives in a fast-paced, dynamic environment and can seamlessly balance the needs of several senior leaders simultaneously.

Key Responsibilities :

  • Provide high-level administrative support to multiple executives, ensuring the smooth and efficient operation of their day-to-day tasks and responsibilities.
  • Manage executives' calendars, including scheduling appointments, meetings, and events, while anticipating potential conflicts and addressing them proactively.
  • Coordinate and arrange complex travel itineraries, both domestic and international, ensuring logistics are handled efficiently and in compliance with government policies.
  • Prepare and process travel and expense reports, ensuring timely and accurate submission.
  • Draft and proofread correspondence, reports, presentations, and other documents, maintaining professionalism and attention to detail.
  • Serve as the primary point of contact between executives and internal / external stakeholders, ensuring clear and timely communication.
  • Coordinate and prioritize meetings, conference calls, and video conferences, ensuring all logistics are in place and all parties are informed.
  • Handle confidential information with discretion and professionalism.
  • Assist in special projects, research, and ad-hoc requests, providing support where necessary.
  • Maintain an organized filing and document management system, ensuring all materials are accessible when needed.
  • Provide general office support, including ordering supplies, managing office equipment, and assisting with office-related issues.

Qualifications :

  • Bachelors degree (required)
  • Minimum of 3-5 years of executive assistant experience, with a strong focus on government or public sector work.
  • Proven experience supporting multiple executives simultaneously, with the ability to manage competing priorities effectively.
  • Exceptional communication skills, both written and verbal, with a polished and professional demeanor.
  • Advanced proficiency with calendar management tools (e.g., Outlook, Google Calendar) and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong organizational skills with the ability to handle complex tasks and work independently.
  • Experience coordinating both domestic and international travel, with a deep understanding of relevant policies and procedures.
  • Ability to maintain confidentiality and manage sensitive information with discretion.
  • Excellent problem-solving skills and the ability to anticipate needs and make decisions quickly.
  • A proactive, detail-oriented approach to tasks, with the ability to adjust to changing priorities and environments.
  • Knowledge of government protocols, regulations, and processes is a strong plus.
