POSITION SUMMARY
The Travel Logistics Coordinator will manage travel arrangements for all SpectrumVoIP employees. The ideal candidate will have over 3 years of experience in corporate travel logistics and be highly organized, detail-oriented, and able to handle complex travel coordination. This is an in-office position. This position is in our Plano HQ office.
ESSENTIAL JOB FUNCTIONS
- Plan, coordinate, and book domestic and international travel arrangements for employees including candidates, including flights, hotel accommodations, and car rentals.
- Plan, coordinate and book meetings and company events.
- Ensure compliance with SpectrumVoIP’s travel policies and business expense guidelines.
- Manage travel itineraries, including handling any necessary changes or last-minute adjustments.
- Negotiate rates with hotels, airlines, and other travel service providers to optimize cost savings.
- Provides ongoing support to enhance the traveler’s experience, including assisting with flight cancelations and delays, processing payments, and problem solving
- Supports emergency after hours phone line which may include nights & weekends
- Collaborate with HR to reconcile all travel expenses and ensure proper documentation received for reimbursement.
- Audits internal travel systems and reports discrepancies or anomalies.

JOB REQUIREMENTS
· High school diploma or equivalent (required)
· Bachelor’s degree (preferred)
· 3 years of experience in travel coordination or logistics, preferably within a corporate or telecommunications environment.
· Ability to work independently and handle multiple tasks under tight deadlines.
· Proficient in MS Excel, Word, PowerPoint, Outlook, MS Teams
