Job Overview:
We are seeking a dedicated and detail-oriented Patient Coordinator to manage appointments and ensure smooth scheduling operations at our speech therapy center. The Patient Coordinator will work closely with therapists, clients, and administrative staff to optimize schedules, maintain accurate records, and provide exceptional customer service. This role is crucial in ensuring that our clients receive timely care and that our therapy sessions run efficiently.
Key Responsibilities:
- Coordinate and manage therapy schedules, ensuring optimal utilization of therapist availability and center resources.
- Communicate with clients and families to schedule, confirm, or reschedule therapy appointments.
- Maintain accurate and up-to-date records of appointments and client information using our scheduling software.
- Handle incoming calls and emails regarding scheduling inquiries, cancellations, or changes.
- Work collaboratively with therapists to align schedules with client needs and therapist availability.
- Monitor schedules to identify and fill open slots to maximize efficiency.
- Address any scheduling conflicts or issues promptly and professionally.
- Provide friendly and empathetic customer service to clients and families, addressing their questions and concerns regarding scheduling.
- Ensure compliance with company policies, HIPAA regulations, and confidentiality standards.
- Assist with other administrative tasks as needed.
Qualifications:
- High school diploma or equivalent; additional education in office administration or healthcare management is a plus.
- Previous experience in scheduling, administrative support, or customer service, preferably in a healthcare or therapy setting.
- Proficiency in using scheduling software and computer applications (e.g. WebPT, Microsoft Office Suite).
- Strong organizational skills and attention to detail.
- Excellent communication skills, both verbal and written.
- Ability to multitask and handle a fast-paced environment.

Preferred Skills:
