Qualifications
- Bachelors Degree in Business or related filed
- Minimum three years secretarial experience in human resources and/or public education environment preferred.
- Proficient computer skills including, but not limited to Microsoft Office (Word, Excel & PowerPoint), AESOP and iVisions with the ability to gather and analyze data and prepare reports using spreadsheets, word processing and database software etc.
- Handles confidential information discreetly and professionally.
- Strong organizational, interpersonal and time management skills and can independently perform detailed tasks with accuracy.
- Strong attention to detail with ability to independently perform tasks with accuracy.
- Must have proven experience in Talent Acquisition and Recruitment, including sourcing, screening, interviewing, and hiring top talent.
- Expertise in full-cycle recruiting, including job postings, candidate assessments, and offer negotiations.
- Strong knowledge of the Family and Medical Leave Act (FMLA), including administration, compliance, and employee leave tracking.
- Experience managing FMLA case files, ensuring timely documentation, approvals, and adherence to legal requirements.
Essential Duties
1. Perform all tasks associated with AESOP substitute system as related to substitute teachers. Such tasks include, but are not limited to, advertising/recruiting (e.g. Applitrack), frequent communication with current substitutes and potential substitutes, conducting regular training meetings, maintain substitute handbook and hiring packet, data entry of substitutes into iVisions, maintain current substitute files, and quarterly and annual reporting.
2. Maintains the personnel files/records including filing/scanning into the employee files; assists with the purging of inactive HR records.
3. Prepares correspondence, forms, manuals, schedules/appointments, and reports for the Director of Human Resources.
4. Coordinates college recruitment and job/career fair efforts.
5. Manages the pre-employment process of scheduling interviews; collecting new hire paperwork; processing and receiving criminal history record information on applicants; verifying completeness of new hire file.
6. Coordinates the annual new staff orientation.
7. Handles the preparation of ESY applicants and notification letters.
8. Tracks licensed employees, notifying them of licensure renewal; updating the human resources information system (iVisions) as needed.
9. Maintains accurate information in the attendance system (AESOP).
10. Responsible for system administration of the on-line evaluation systems including set up, managing user lists, and reporting.
11. Maintains the online application system; sends applicant acknowledgement and declination cards.
12. Maintains and completes paperwork for unemployment claims; prepares documents for unemployment hearings.
13. Processes invoices and purchase requisitions; process timesheets for contract employees.
14. Manage, update and notify administrators of employee status in state mandated trainings (GCN).
15. Assists in staff recognition gift selection and dissemination throughout the school year.
16. Organizes the service recognition and retirement program.
17. Order and maintain office supplies for Central Office.
18. Cross trains in all technical HR functions.
19. Protects the confidentiality of records of information about staff, as well as the ability to use discretion when sharing any information within legal confines.
20. Communicates with a wide variety of stakeholders (e.g. other employees, departments, administrators, applicants, the public, etc.) for providing information and assistance concerning employment, recruitment, personnel records, labor relations, and related legal requirements.
21. Participates in trainings and meetings that involve a range of issues (e.g. personnel actions, regulatory requirements, actions involving outside agencies, inter-department needs, etc.) for developing recommendations and supporting other staff.
22. Other duties as assigned by Director of Human Resources.

- Ability to establish and maintain effective working relationships with all members of the school community.
- Ability to communicate clearly and concisely in verbal or written form
- Ability to write reports as needed. The ability to effectively present information and respond to questions is required.
- Ability to perform essential duties within member school district requirements and SPEED policies.
