We're a fast-paced cleaning and junk removal company looking for a highly organized and tech-savvy Communications & Operations Specialist to manage our daily influx of messages and ensure seamless communication with our clients and stakeholders.
Job Summary:
As our Communications & Operations Specialist, you'll be the primary point of contact for all incoming text messages, emails, and phone calls. You'll play a crucial role in maintaining our responsiveness and ensuring timely resolution of inquiries, ranging from customer service and billing to appointment scheduling and hiring. You'll be a master of multitasking, adept at handling a high volume of communications while maintaining a professional and efficient demeanor.
Responsibilities:
- Communication Management:
- Respond to all incoming text messages and emails promptly and professionally, maintaining a response time of no more than two hours during your shift.
- Handle a wide range of inquiries, including customer complaints, billing questions, appointment scheduling, and hiring inquiries.
- Manage and organize all communications to ensure efficient follow-up and resolution.
- Answer and manage incoming phone calls, providing excellent customer service.
- Operational Support:
- Maintain accurate records of all communications and actions taken.
- Assist with scheduling and appointment management.
- Contribute to operational efficiency by identifying and suggesting process improvements.
- Assist with any other tasks needed to keep the operations running smoothly.
- Technical Proficiency:
- Utilize talk-to-text and other technology to maximize efficiency in communication.
- Demonstrate exceptional typing skills and accuracy.
- Navigate and utilize various software and platforms for communication and operational tasks.
- Troubleshoot basic technical issues.
Qualifications:
- Proven experience in a customer service, administrative, or communications role.
- Exceptional written and verbal communication skills.
- Excellent typing speed and accuracy.
- Proficiency in using talk-to-text and other communication technologies.
- Strong organizational and multitasking abilities.
- Ability to remain calm and professional under pressure.
- Tech-savvy with the ability to quickly learn and adapt to new software and systems.
- Strong problem-solving skills and attention to detail.
- Ability to work independently and as part of a team.
- Reliable and dependable.
Preferred Qualifications:
- Experience with CRM AND VOIP phones.
- Previous experience in cleaning, junk removal or booking appts.
