Overview
We are seeking an exceptional Executive Appointment Scheduler to manage and coordinate the complex, high-stakes calendar of a high-level executive. This role requires a highly organized and proactive individual with exceptional communication skills who can effectively manage appointments with high-net-worth individuals, VIPs, and other influential figures. You will be the gatekeeper to ensure seamless scheduling that respects the time and priorities of both our executive and their distinguished network.
Key Responsibilities:
- Manage Executive’s Calendar: Handle the scheduling and rescheduling of appointments, meetings, and travel arrangements, ensuring all details are aligned with the executive's goals and priorities.
- Coordinate with High-Level Stakeholders: Schedule meetings with high-net-worth individuals, corporate leaders, and other key figures while maintaining professionalism and confidentiality at all times.
- Handle Conflicting Priorities: Navigate complex schedules and balance multiple priorities by anticipating potential conflicts and addressing them proactively.
- Liaise with Internal and External Parties: Serve as the primary point of contact for appointment confirmations, rescheduling, and adjustments. Communicate effectively with both the executive and other key stakeholders to ensure clarity and efficiency.
- Anticipate Needs and Preferences: Gain an understanding of the executive’s preferences, communication style, and timing sensitivities to ensure a seamless scheduling experience.
- Manage Travel Logistics: Coordinate travel arrangements in conjunction with the scheduling process, ensuring the executive’s time is optimized and travel is streamlined.
- Confidentiality & Discretion: Handle sensitive information with the utmost discretion, respecting privacy and confidentiality at all times.
Skills & Qualifications:
- Exceptional Communication Skills: Excellent written and verbal communication skills to engage with high-profile individuals and manage delicate scheduling matters.
- Experience with High-Profile Executives: Prior experience scheduling for C-suite executives, high-net-worth individuals, or individuals in a similar high-level, fast-paced environment.
- Detail-Oriented: Ability to juggle multiple tasks and manage several calendars without missing important details.
- Problem Solving: Quick thinking, resourceful, and able to resolve scheduling conflicts with minimal disruption.
- Time Management: Exceptional ability to prioritize and manage competing demands in a high-pressure environment.
- Discretion: Ability to handle confidential and sensitive information with the highest level of integrity and trust.
- Technologically Savvy: Proficient in calendar management software (e.g., Google Calendar, Outlook), and comfortable using tools for virtual meetings and event coordination.

Pay: $18.00 - $25.00 per hour
