Job Title: Receptionist/Administrative Assistant - 24-00548

The Professional Division of Spherion Mid-Ohio is partnered with an established accounting firm in Mansfield, OH. We are seeking a Receptionist/Administrative Assistant to join their team! Pay is $18 - $20 /hr. Bonus being offered based on background and experience.

Position Overview - the Receptionist/Administrative Assistant plays a vital role in supporting an office or organization by managing front-office operations and performing a variety of administrative tasks

Receptionist Duties:

  • Greet Visitors: Welcome clients, customers, or guests in a professional and friendly manner, making them feel comfortable and attended to.
  • Answer Phones: Manage incoming phone calls, direct calls to appropriate staff, and take messages when necessary.
  • Manage Front Desk Operations: Maintain the reception area's cleanliness, ensuring it is organized and presentable for visitors.
  • Handle Mail and Deliveries: Sort and distribute incoming mail, manage outgoing mail, and coordinate courier services or deliveries.
  • Schedule Appointments: Organize and manage schedules for executives or other staff, including booking meetings, conference rooms, and coordinating calendars.
  • Customer Assistance: Provide basic information to customers or visitors and handle inquiries professionally.

Administrative Duties:

  • Data Entry: Enter data into systems or spreadsheets, ensuring information is accurate and up to date.
  • Filing and Document Management: Organize and maintain both physical and digital files, including contracts, reports, and correspondence.
  • Office Supply Management: Monitor office supplies, reorder when needed, and ensure proper inventory levels.
  • Correspondence: Draft and send emails, letters, memos, or other forms of communication on behalf of the company or staff.
  • Support to Other Staff: Assist other employees by preparing documents, reports, and presentations, or gathering necessary information.
  • Expense Tracking and Billing: Assist with basic financial tasks, such as tracking expenses, processing invoices, and preparing billing documents.
  • Maintain Office Systems: Help with setting up conference calls or troubleshooting office equipment like printers or fax machines.

Skills & Requirements:

  • High school diploma or equivalent- Associate's degree in Business or related field preferred but not required.
  • Previous experience as a receptionist or administrative assistant, preferably in a professional services environment.
  • Familiarity with billing and invoicing procedures, experience with accounting or billing software a plus.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with attention to detail.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
