What are the responsibilities and job description for the Shared Services Fleet Analyst position at SPI LLC?
Summary:
The Shared Services Fleet Analyst is responsible for managing the billing administration for worldwide Fleet assets, both owned and leased. This position works closely with Accounting, FP&A, Logistics, and AP, reporting to the Shared Services Manager.
Areas of responsibilities may include but are not limited to:
- Download and update the NECS tracking report for all vehicles and related information to include
- Unit numbers
- Make/Model information
- Branch numbers and locations
- License plate
- EZ Pass transponder #s
- Leasing Company (if applicable)
- Lease expiration date
- Asset end of life date
- Gas Card #
- Other details as required
- Work to consolidate all billing per leasing company
- Create or gain access to vendor billing portals
- Ensure that new leases are added to the centralized billing
- Work with Logistics Manager to onboard new branches leases & incorporate into existing billings
- Create the payment allocations for the various leasing bills and provide to AP for upload to the invoice for payment processing
- Analysis of all leased vehicles across all leasing companies to find synergy savings
- Work with NECS to ensure completeness of payments made on our behalf and billing is accurate
- Work with Logistics manager and Accounting to create a process to track the Issuing/maintenance fleet gas cards (currently Comdata)
- Create the payment allocation for the monthly invoice and provide to accounting for JE
- Billing analysis to ensure fuel is dispensed to company vehicles only and for business purposes only
- Work with branches to transition fleet purchases processed at branch level on credit cards to regular AP billings

Education, Skills, Experience, and Knowledge
- 3-5 years AP, Accounting, or general Finance experience; AA or BA in accounting or related field is preferred.
- Good time management and ability to work with members of teams across the company on several levels
- Excellent oral and written communication skills
- Intermediate to Advanced Excel skills
- Fleet billing/account experience a plus
