PROJECT COORDINATOR
POSITION SUMMARY
This position is for a full-time Project Coordinator in our Saginaw Riverfront office. This position plays a critical role in assisting Project Managers with schedules and project tasks, report review and processing, preparing contract documents, and assisting with client management.

JOB DESCRIPTION
Spicer Group is looking for a qualified candidate that enjoys working with a team, is very organized, and has excellent communication skills. The team member in this position will provide full-time assistance in an office setting, supporting project managers, and support staff in the Water & Wastewater Technical Services Group. This includes preparation of documents, scheduling and attendance at meetings, and other tasks necessary to keep projects and tasks moving forward. Physical presence is an essential function of this job.
RESPONSIBILITIES
- Utilizes computer software and requires advanced knowledge of word processing, spreadsheets, databases, PowerPoint presentations, and graphics
- Demonstrates excellent organizational skills and attention to detail, managing tasks efficiently
- Uses MS Word, Excel, PowerPoint, SharePoint, and PDF programs with speed and accuracy
- Uses MS Teams and Zoom for conducting meetings
- Reviews materials prepared by group staff for proper language and grammar, and reviews for completeness and accuracy
- Answers external phone calls and responds to client requests
- Refers calls and visitors to appropriate staff
- Efficiently oversees daily departmental operations, including coordinating schedules, organizing staff training sessions, and assisting with tracking certifications
- Establishes and maintains project numbering, Vantagepoint entries, correspondence and data files according to pre-established guidelines
- Prepares standard reports, meeting minutes, spreadsheets, and charts
- Assists with digital preparation of technical specifications and bidding documents, online bidding process and preparing contracts
- Prepares presentation materials to support department needs
- Assists with hosting clients in the office and organizing staff events
- Assists with conference registration for staff members, including travel arrangements
- Maintains recurring internal reports, including staff corporate resumes
- Will require occasional travel throughout Michigan
- Required to exercise initiative, judgement, and knowledge of company practices, policies, and organization
- Maintains a close and highly responsive relationship with the supervisor and staff
- Interacts with clients and contractors in a kind and professional manner
- Provides basic technical support for office equipment and software applications used by engineers and surveyors

EDUCATION AND EXPERIENCE REQUIREMENTS
- 3 years of clerical / administrative experience in a professional office or related setting or equivalent combination of higher education / experience
- Proficient with clerical tools and administrative skills
- Ability to demonstrate interpersonal, written, and organizational skills
- Works well independently and delivers under deadlines
