PROJECT COORDINATOR
POSITION SUMMARY
This position is for a full-time Project Coordinator in our Traverse City office. This position will assist Project Managers in our AMEP (Architecture, Mechanical, Electrical, and Plumbing) Group and the Business Development Group. This position plays a critical role in assisting Project Managers with schedules and project tasks and will also assist with conference planning and management. This is an in-person position.

JOB DESCRIPTION
Spicer Group is looking for a qualified candidate that enjoys working with a team, is very organized, and has excellent communication skills. The team member in this position will provide full-time assistance in an office setting, supporting Project Managers, and Business Development staff. Physical presence is an essential function of this job.
RESPONSIBILITIES
- Provides full-time assistance in an office setting, supporting project managers and support staff
- Utilizes computer software and requires advanced knowledge of MS Word, Excel, PowerPoint, SharePoint, and PDF programs with speed and accuracy
- Demonstrates excellent organizational skills and attention to detail, managing tasks efficiently
- Reviews materials prepared by group staff for proper language and grammar, and reviews for completeness and accuracy
- Skillfully manages daily departmental functions, such as coordinated schedules, staff trainings, and management of certifications and renewals
- Processes documents according to pre-established guidelines
- Establishes and maintains correspondence and data files
- Required to exercise initiative, judgement, and knowledge of company practices, policies, and organization
- Maintains a close and highly responsive relationship with the supervisor and staff
- Assist with Conference tracking and preparation, including cost tracking, registrations, reservations and special dinners
- Update the company wide calendar with conference information
- Coordination of marketing items for conference displays and gifts
- As needed assistance on entering information for conferences into marketing campaigns
- Setting up pre and post conference meetings
- Requisitions supplies, printing, or other services
- Office administration tasks, including vendor contracts and organizing staff events
- Will require travel on occasion throughout Michigan

EDUCATION AND EXPERIENCE REQUIREMENTS
- 3 years of clerical / administrative experience in a professional office or related setting or equivalent combination of higher education / experience
- Proficient with clerical tools and administrative skills
- Ability to demonstrate interpersonal, written, and organizational skills
- Works well independently and delivers under deadlines
