POSITION OVERVIEW
The Human Resource/IT Support Specialist supports Spika’s workforce by delivering high-quality HR services, reliable frontline IT support, and a safe, compliant work environment. This role ensures employees are well-supported across the full employee lifecycle by administering benefits, maintaining employment records, reinforcing cybersecurity practices, and driving proactive safety initiatives. The Specialist improves operational efficiency and regulatory compliance while escalating complex matters to the Controller or external resources as needed.

KEY RESPONSIBILITIES

HUMAN RESOURCES

  • Maintain and Administer HR Policies and Documents: Maintain and update personnel policies, employee handbooks, organizational charts, evaluation forms, and other HR documents to ensure accuracy, compliance, and accessibility.
  • Maintain and Oversee Employment Records: Ensure accurate and compliant management of employment records by preparing, updating, and maintaining records owned by HR, and by reviewing supervisor-submitted documentation to ensure completeness, timeliness, and accuracy.
  • Support and Administer Employee Benefits: Assist employees with benefit enrollment, changes, and issue resolution. Maintain accurate benefit records in the HRIS, ensure the system is properly configured for benefits administration, and coordinate open enrollment with the company’s benefits broker.
  • Manage Employee Leave: Administer leave of absence processes, ensuring timely employee communication, proper documentation, compliance with company policies and applicable laws, and accurate tracking in the HRIS.
  • Administer and Facilitate Training Programs: Manage the company-wide training system, ensuring required trainings are scheduled, administered, completed, and documented. Oversee recurring compliance and professional development trainings and certification renewals.
  • Support Talent Acquisition Efforts: Execute recruiting strategies, manage job postings, and contribute to employer branding initiatives. Collaborate with hiring managers to attract and onboard high-quality candidates.
  • Ensure HR Compliance, Reporting, and Filings: Maintain compliance with EEO, ADA, affirmative action, and other employment law requirements. Generate required HR reports and filings.
  • Execute and Continuously Improve HR Processes: Administer and enhance HR processes across the employee lifecycle, including onboarding, offboarding, performance management, employee engagement initiatives, and compliance programs, ensuring they are effective, consistent, and aligned with company goals.

IT SUPPORT

  • Provide Frontline IT Support: Serve as the first point of contact for basic technology issues, train employees on standard systems and operations, and escalate other technical needs to the Managed Services Provider (MSP). Set up, onboard, and offboard employee hardware and software. Troubleshoot basic internet, server, and connectivity issues to support operational continuity.
  • Promote IT Security and Policy Compliance: Maintain IT and cybersecurity policies and records, educate employees on security best practices, and coordinate technology changes and documentation to support secure, efficient operations.

ENIVORNMENTAL HEALTH AND SAFETY

  • Develop and Maintain Safety Programs: Create, implement, and update safety policies and procedures to comply with regulatory requirements and best practices.
  • Deliver Safety Training and Onboarding: Conduct new hire safety orientations and provide ongoing safety education to employees, ensuring critical safety topics are effectively communicated and understood.
  • Audit Safety Compliance and Foster a Safety Culture: Perform routine safety audits, identify and resolve hazards, and promote a proactive, prevention-focused safety culture.
  • Lead Safety Committee Activities: Organize and facilitate safety committee meetings, review incident reports, and drive initiatives to improve workplace safety performance. Facilitate employee engagement in safety improvements and communicate key updates across departments.
  • Manage Incident Reporting and Claims: Oversee the documentation and investigation of workplace incidents. Manage workers’ compensation claims and OSHA reporting processes in coordination with internal and external stakeholders.

QUALIFICATIONS

  • Associate’s or bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent experience.
  • 2 years of experience in HR, administrative support, or a related role.
  • Knowledge of HR policies and employment law basics.
  • Basic understanding of IT systems and cybersecurity best practices.
  • Familiarity with workplace safety requirements (OSHA standards preferred).
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent communication and interpersonal skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Proficient with Microsoft Office and HRIS or similar systems.
  • SHRM certification preferred.
  • Familiarity with CMMC compliance preferred.

WORKING CONDITIONS

The position works indoors with occasional exposure to moderate-to-loud noise.
