What are the responsibilities and job description for the Children Services Administrative Coordinator position at SPIN?
The Children Services Administrative Coordinator is to organize, monitor and control the administrative functions of the ECE department, ensuring accuracy, confidentiality and integrity in conjunction with the entire administrative team. The Administrative Coordinator will support the program staff in the administrative functions of the early childhood center and ensuring the children we serve are provided with continued quality care and support.
The Accountabilities of CS Admin Coordinator Include:
- The Administrative Coordinator will support the enrollment process at their assigned campus.
- The Administrative Coordinator will receive phone calls and messages from the families we support and those interested in services at SPIN, and respond to them in an appropriate and timely matter.
- The Administrative Coordinator will handle and/or assist in the overall responsibilities of the department’s administrative operations functions, including updating attendance sheets, responding to needs of managers and teachers, maintaining availability of all office supplies, materials and forms, and child records as needed.
- The Administrative Coordinator will act as a mandated reporter in the event information is shared by an individual or family supported that would compel them to need to report the information.
- The Administrative Coordinator will maintain accurate data in electronic health record to ensure that all children have complete demographic information, are enrolled in the correct program and assigned to the correct primary worker.
- The Administrative Coordinator will maintain child demographics within each external funders database as needed and as assigned.
- The Administrative Coordinator will maintain standards of confidentiality and ethical practice when dealing with non-departmental and non-agency entities.
- The Administrative Coordinator will participate in monthly Early Childhood Education administrative meetings and supervision as needed.
- The Administrative Coordinator will communicate with all organization management, staff, individuals, as well as outside parties in a professional manner, demonstrating confidence, patience and respect at all times.
