Front Office / Medical Assistant Position
The Front Office / Medical Assistant represents the physician office through interactions with all patients and visitors while accurately handling the flow of patient care and all monetary transactions.
JOB RESPONSIBILTIES:
1. Maintains accurate patient information in all charts and the computer system by updating patient demographic information.
2. Handle check in functions in a timely fashion. Includes being able to check patient balances and collect on previous balances on a consistent basis. Ensuring copayments, deductible, balances are being optimally collected on. Accurately setting up payment plans after manager approval.
3. Verifying insurances on every patient visit.
4. Getting appropriate family practice referrals in chart on insurances that require referrals for specialty service for billing to accurately bill and collect.
5. Coordinates referrals from primary care. Establishing ties with family practice referral coordinators to make referral process seamless. Making self available and reliable patient coordinator (reliable checking faxes and emails daily.
6. Efficiently answers phones, take accurate and timely messages. Handle as much as you can directly with patients before sending messages to the back office and/or management.
7. Patient call backs to schedule two days and one day in advance. Advise patients when you call to confirm of their deductibles and balances. Having call backs available for office manager to analyze and see who has confirmed and not.
8. Working in back office capacity taking simple history and vitals, taking X-Rays, and getting consent on procedure days.
9. Participates in continuous quality improvement activities and teams.
10. Running end of day reports, balancing front money and collections with end of day report emailed to billing company.
11. Doing tasks outlined by checking Patient Pop and Piedmont Link portals daily. These are essential for referrals. Expected to reply to patients on Patient Pop daily via email and text messages.
12. Participates in supporting the organization’s vision, mission and values and adheres to Spine and Orthopedic of Behavior.
13. Understanding personal injury claims and how to process from a front perspective, including obtaining information about medpay, medical records and attorney lien letter of protection signatures in advance of seeing the patient. This will be coordinated with our billing team medicolegal liason.
14. Performs other duties as assigned to meet the goals and objectives of SOC. Filling in on duties and roles in fashion to make small practice successful. Being a team player.
15. Have the ability to fill in other positions as needed, especially, helping work in back office to cover lunches or absences for medical assistant. Therefore, must have some experience in back office.
QUALIFICATIONS
Minimum Education, Experience and Licensure Required:
- High School Diploma and one or more years of medical office experience.
- One (1) year of medical office experience preferred. Medical assistant licensure a plus.

- Ability to remain calm in very stressful situations and in dealing with upset people
- Demonstrates tact, versatility and adaptability. Must be a team player.

- Functions independently
- Able to work with some technical capacity using computers, electronic medical records, Availity, various MRI portals. Need to be able scan, email and fax documents readily and efficiently.
- Be able to scan documents for doctor to sign and email.
