About you:
You are a planner. You’re a detail-oriented professional with at least five years of experience managing a small business in an office setting, and you’re looking for a part-time role reporting to the business owner. You are experienced in most accounting functions including AP/AR, invoicing, benefits management, payroll processing, and forecasting. You are organized, value open communication, love making lists and getting things done, enjoy collaboration, and pursue supporting a team with the same passion that we have for creative solutions. You are able to reliably commute to Stamford, CT on a daily basis.
Responsibilities:
- Oversee daily office operations, ensuring a productive and organized business;
- Maintain accurate and up-to-date financial records, including accounts payable & receivable (AP/AR);
- Process & track client invoices, payments, and receipts;
- Reconcile business bank statements and credit card transactions;
- Provide monthly financial reports, expense tracking, & budget updates;
- Process employee payroll with ADP & support PTO tracking for a small team;
- Manage office supplies, equipment, and vendor relations as needed;
- Pay sales tax, fund retirement, and manage employee paperwork in multiple states
- Provide general administrative support to the team, monitor and respond to team communications, email correspondence, and filing documents;
- Work with accountants to prepare quarterly and end of year documents
- A desire to streamline and automate repetitive tasks
- Responsible for professional communications with vendors and clients as necessary
- Plan and support company events and activities
- May perform other duties as assigned
Minimum Qualifications:
- Minimum 5 years of experience as an Office Manager, Accounting Supervisor, or similar role;
- Proficiency in Quickbooks Online, Microsoft Office Suite (Word, Excel, Outlook);
- Familiar with job costing software platforms (FunctionPoint); to create invoices and sync toQuickBooks;
- Strong understanding of office management procedures and accounting principles;
- Excellent organizational and multitasking skills;
- Strong attention to detail and accuracy in financial tasks;
- Ability to handle sensitive information confidentially;
- Outstanding communication and interpersonal skills;
- Ability to work independently or within a team;
- Proven ability to be punctual, dependable, and have reliable attendance;
- Bachelors Degree in business management or a related field, and/or certification in accounting preferred. High School Diploma required.
- Legally authorized to work in the US without restriction or sponsorship.
Physical Requirements:
- Ability to sit or stand for extended periods of time;
- Ability to walk, reach, climb, kneel for brief or extended periods of time within an office setting;
- Ability to operate standard office equipment and electronics;
- Ability to lift, carry, push, pull and otherwise use manual dexterity of limbs sufficient enough to safely fulfill duties, with the possibility of lifting up to 30 lbs on occasion.
