Job Title: Lease Administration Analyst – Grand Central
Department: Lease Administration as a department of Asset Management
Location: North Syracuse, NY (Onsite)
Reports To: Business Manager – Grand Central
Classification: Non-Exempt, Full-Time
Summary
The duties of the Lease Administration Analyst role involves abstracting lease documents, tracking critical dates, analyzing tenant conditions, coordinating the monthly rental charge process, reconciliation audits and other projects/analysis as needed under limited supervision for the Grand Central Terminal/Madison assignment.
Essential Duties and Responsibilities
- Abstract, interpret and maintain retail lease documents
- Ensure all lease-related transactions (monthly rent, insurance, CAM, taxes) are reviewed and properly recorded and balanced
- Prepare rent variance analysis for monthly reporting and annual budgeting
- Analyze leases and tenant economic scenarios, gather thoughtful conclusions and present recommendations to senior management
- Perform monthly tenant billings, rent roll changes and rent projections
- Apply basic ledger functions such as payments and charges
- Track critical dates as they pertain to lease-related clauses and landlord deadlines
- Resolve landlord/tenant issues that relate to lease language and rent charges
- Analyze account ledgers and initiate contact with tenants to collect arrears and/or reconcile outstanding balances
- Prepare financial forecasts, budgets, and annual reconciliations
- Adhere to strict deadlines and prioritize multiple tasks
- Resolve critical issues for clients and senior management
- Identify and assess potential risks for complex tenant situations; evaluate economic impact for various tenant scenarios
- Applying cash financials to tenant profiles in a timely and efficient manner
- Tracking & sending tenant statements and documents when needed
- Communicate effectively with tenants regarding outstanding balances and other discussions needed regarding lease documentation
- Ensures data integrity and accuracy by performing review of work completed by team members
- Comprehend and interpret instructions, successfully respond to inquiries, and present complex information in a summarized form
- Assist in special projects as assigned
- Perform other duties as required

- Positively and proactively collaborate with colleagues in any way needed to further the leasing and marketing of mall properties to achieve, sell and provide world-class service to all our constituents
- Maintain Client confidence and protect operations by keeping proprietary information confidential
Qualifications
- AS/BS in Accounting, Finance or Business related field or 1-2 years of experience in business environment
- Proficient computer skills, MS Excel experience is a must
- Ability to understand and interpret complex lease language and data
- Strong financial and analytical skills
- Understanding of basic ledger functions such as payments/receipts and charges
- Ability to multi task and thrive under pressure in a high paced environment
