Summary:
The Administrative Assistant plays a pivotal role in ensuring efficient office operations by undertaking a variety of administrative tasks, with a focus on insurance billing, phone communication, processing medical record requests, and managing supplies. This position requires strong organizational skills, attention to detail, and excellent communication abilities.
Job Responsibilities:
1. Insurance Billing:
- Prepare and process insurance claims and payment postings accurately and in a timely manner, with a primary focus on Medicaid and private insurance billing.
- Collaborate with the finance department and insurance providers to resolve claim discrepancies, denials, or rejections.
- Maintain updated records of all billing transactions and monitor outstanding balances and follow-ups.
- Verify insurance eligibility and benefits as needed.
2. Communication & Records Requests:
- Answer and direct phone calls, taking messages or forwarding calls as needed.
- Process medical record requests in accordance with HIPAA and organizational guidelines.
- Manage incoming and outgoing mail, including sorting, distributing, and handling deliveries.
3. Administrative Support & Supply Management:
- Perform general clerical duties such as data entry, filing, photocopying, and scanning documents.
- Order and maintain inventory of office supplies for staff and essential supplies for clients residing in the facility.
- Monitor supply levels regularly to ensure timely reordering and prevent shortages.
- Support other departments with administrative tasks as required.
Qualifications:
- Proven experience in insurance billing, with emphasis on Medicaid and private insurance claims.
- Proficient in billing software, Microsoft Office Suite, and QuickBooks.
- Excellent organizational and multitasking abilities.
- Strong interpersonal skills and a professional demeanor.
- Attention to detail and accuracy in handling financial and confidential data.
- Ability to work independently and collaboratively within a team.
Education and Experience:
- High school diploma or equivalent; additional certification in medical billing, accounting, or a related field is a plus.
- Prior experience in insurance billing, required
- Medical records processing, supply management, or office administration is preferred.
Working Conditions:
This role operates in a professional office environment. The Administrative Assistant may spend extended periods sitting and using a computer or engaged in administrative tasks.
Job Type: Full-time
Pay: $15.00 - $17.00 per hour
