The New Patient Coordinator’s role is to initiate and complete the workflow at Spokane Digestive Center by converting external referrals, self-referrals, and tasks into scheduled consults filling available new patient slots.

Minimum qualifications:

· High School Diploma/GED Equivalent

· Medical record and/or referral and/or scheduling experience

Knowledge, Skills, and Abilities Required:

· Understanding of referrals, medical records, scheduling, and authorizations.

· Phone etiquette with patients.

  • Microsoft Office Suite, specifically Word, Excel, Outlook.

· Ability to communicate effectively in writing, over the telephone, and in person.

Duties and Responsibilities:

· Processes all new patient consult inbound referral requests from providers, self-referral calls and tasks from referral coordinators.

· Obtains authorization for inbound referrals and schedules appointments as appropriate.

· Monitors all incoming referrals for authorization.

· Works with outside referring provider offices

· Records all appropriate referral information in patients’ chart.

· Provides all necessary patient information (medical records, notes, etc.) to the appropriate source remembering the importance of confidentiality and HIPAA.

· Obtains all necessary records from outside provider offices.

· Fields incoming calls from patients wanting to self-refer, returning calls to schedule or those who have already been processed to the NP Scheduler desktop and takes appropriate action based on those calls.

· Scans and files correspondence into the electronic medical record.

· Appropriately closes the loop on all incoming referrals; ensures patient was scheduled or faxed back, records were sent or received and documents actions as directed.

· Assists patient in obtaining care when a referral has not been completed.

· Performs other duties as assigned.

· Demonstrates an understanding of practice management system’s patient processing functions through an ability to enter data with minimal direction or assistance when assisting reception.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. Amount of time spent lifting or exerting force is about 50% for up to 10 pounds and less than one-third of the time up to 25 – 40 pounds. Rarely is there a need to lift more than 41 pounds.

Working Conditions:

Work is typically performed in an interior clinical office setting. Workflow may be demanding and chaotic at times requiring the need for multitasking. Exposure to patient population that can present a variety of contagious diseases, physical injuries and emotional states of mind.

Job Type: Full-time

Pay: $19.00 - $26.00 per hour

Expected hours: 40 per week
