SIA - Human Resources Generalist
Spokane International Academy is seeking an accomplished Human Resources professional to assume a position as a Human Resources Generalist. The Human Resources Generalist role at Spokane International Academy is an independent role that works closely with the CFO and Business Manager. The HR Generalist serves as the go-to point of contact for all HR questions at SIA, submits state and federal reports, and works with the CFO to resolve larger HR issues when needed. The HR Generalist helps staff at SIA navigate HR processes and benefits daily while cultivating positive communication with SIA’s roughly 115-person staff.

Duties and Responsibilities:
- Oversee onboarding, staff management, and staff databases:
- Create and maintain trackers, spreadsheets, and forms as needed
- Maintain records of teaching certification, employee credits, clock hours, and continuing education
- Manage paraeducator qualifications
- Maintain essential employee records, including contract updates, leave requests, and salary placement documentation including transfer of records between school districts
- Draft documentation in preparation for terminations, exit interviews, and disciplinary conversations which are completed alongside the CFO
- Ensure completion of and compliance with state and federal reporting and documentation, including:
- S-275
- Quarterly Reporting
- Staff Certifications
- ACA-1095
- Upload other HR related information for compliance to OSPI, Washington State Charter Schools Commission, and any grantor requesting information
- Support CFO and Head of School to complete hiring and onboarding experience for new employees utilizing the district’s hiring platform (Nimble):
- Create and post job descriptions
- Edit/update forms and templates
- Send forms and onboarding information to candidates
- Manage the district’s training platform (Vector/SafeSchools) platform for mandatory and recommended training
- Manage and track candidate and staff data
- Host in-person new hire orientations covering the Employee Handbook, benefits, and policy
- Conduct background checks on and ensure fingerprinting for new and returning staff:
- Review fingerprinting and background check data
- Work with external organizations to organize in-house fingerprinting
- Serve as a benefits advisor and administrator:
- Enroll and maintain employees on the employer side of programs used at SIA (Red Rover time off, SEBB insurance, DRS retirement, training platforms, school email, etc.)
- Assist staff with personal benefit enrollment (SEBB insurance and DRS retirement)
- Develop resource packets, email templates, and how-to guides to encourage staff comprehension of and access to human resources benefits, programs, and information
- Facilitate Open Enrollment communication and resources
- Manage PTO balances in the district’s absence management software (Red Rover K-12):
- Complete annual PTO rollovers, initial entries, corrections
- Audit absences against timesheets for accuracy each pay cycle
- Complete regular reconciliations of employee leave balances
- Update leave balances in the district’s employee information systems as needed (during hiring, termination, or contract adjustments)
- Compile materials and perform data searches related to public records requests and audits
- Engage with candidates at career fairs and other recruiting opportunities, compiles data during them, and sends follow up communication after
- Regularly review and manage HR policies (Employee Handbook) and procedures to ensure alignment with local, state, and federal law
- Maintain a diligent and detail-oriented approach while developing an HR skill set and broadening the scope of the role
- Complete other duties as assigned
Minimum Qualifications:
- Bachelor’s Degree in Human Resources, Accounting, Finance, or Business Administration (may substitute for equivalent work experience or education)
- Proficiency with a variety of computer applications including the Microsoft Office Suite (Excel, Word, etc.) and Google Suite (Sheets, Slides, Documents); ability to learn new computer applications quickly
- Strong work ethic and sense of integrity, trustworthiness, and ability to maintain a high level of confidentiality
- Excellent verbal and written communication that promotes understanding of complex concepts
- Knowledge of principles and processes for providing customer services and demonstrated ability to work in a positive manner with staff and other stakeholders
- Independence and a demonstrated ability to effectively prioritize workload and work under pressure in an environment with multiple, simultaneous tasks while maintaining a strong attention to detail
- Strong knowledge of and/or ability to learn and apply state and federal HR laws
Preferred Qualifications:
- Prior Human Resources experience
- Demonstrated knowledge of various recruiting techniques, and experience in online/social media recruiting
- Current involvement in SHRM and/or Washington State Personnel Association (WSPA)
- Experience in a school setting
- Experience in charter schools and/or urban education
- Ability to communicate in a language(s) other than English
