Job Description
The Spokenote Production Coordinator supports the end-to-end customer project fulfillment process, helping ensure printed and digital materials meet quality standards and customer expectations. In this role, you’ll assist in coordinating workflows, working closely with internal teams, printers, and vendors, while supporting production schedules and quality checks. You’ll also help maintain inventory tracking and manage product sample distribution. This is an ideal role for someone highly organized, eager to learn, and ready to build their project operations experience in a fast-paced, collaborative environment.
Qualifications
- 3-4 years of experience in production operations, project management, or a related field.
- Experience in coordinating with vendors, managing inventory, or working in customer-facing operational roles.
- Demonstrated ability to manage complex projects, coordinate across teams, and deliver high-quality results within deadlines.
- Familiarity with project management tools (we use Monday.com).
- Experience working with external partners like printers, vendors, or suppliers to establish scopes of work, timelines, and cost estimates.
- Proven ability to troubleshoot production or fulfillment issues with third-party vendors.
Responsibilities
- Collaborate with Sales and Customer Success to understand project scope and budget based on customer goals.
- Coordinate with printers and other fulfillment partners to communicate scope of work, establish costs and develop production schedules.
- Monitor production output and adjust schedules as needed to maintain and meet specifications while effectively communicating any changes in expectations across projects to internal and external parties.
- Communicate with customers to collect assets and to provide production updates.
- Implement quality control measures to ensure products produced meet quality standards. Address any quality issues and implement corrective actions.
- Work with printers to execute and/or guarantee proper shipment and distribution of project materials.
- Manage product inventory across all retailers, warehouses, and internal supply.
- Maintain Spokenote’s sample distribution, stock management and product cataloging.
- Utilize project management technologies (Monday.com) and workflows to enhance efficiency and quality.
- Identify opportunities for process improvements and cost savings.
Salary : $50,000 - $55,000
