Position Summary
Take responsibility for an exhibit or project and see it completely through the production process, coordinating all activities and ensuring that deadlines are met. Primary responsibilities of this position include planning, production coordination, timeline management, estimating, and support management of client accounts.
The Project Manager must execute programs in a cost and time-effective manner, working with internal and external creative resources. The Project Manager provides leadership in managing projects and tactics that support the client and SPOON.
Essential Duties and Responsibilities
Tasks include organization and coordination of all project details and quotations that represent SPOON Events value-added capabilities to prospective and current customers. Project managers inform team members of upcoming due dates, client needs and provide detailed information of goals and objectives of client’s tradeshow program. Project managers interface with account executives, account managers and operations by updating the status of projects and keeping an open line of communication at all times.
A Project Manager participates in planning, preparation, including estimating, purchases, and overall projection coordination with Production, Warehouse, and
Field Operations. Provides recommendations for improvement and assists in the development of long-range plans and goals for the team. Maintains control of cost-effective production management and ensures levels are within budget guidelines.
A Project Manager directs the initiation, planning, development, coordination and execution of all project functions for the client’s tradeshow program.
Develops and coordinates the Operational plan for project work for the shop and supporting services. Acts as Project Team leader by promoting integrity, cost effective solutions and service; three key elements which SPOON was founded on. Project Managers continually enhance relationships with SPOON and support client and new business opportunities for SPOON involvement.
Working Relationships:
The candidate will work closely with Production, Design and Field Services Teams. In addition, the candidate will work regularly with Account Managers, attending meetings between sales staff and project manager to keep abreast of job status; provide information on project details and changes. The candidate will work with Graphic Designers to provide information and see that graphic materials are finished properly and on time. The individual will work with the Director of Finance and transmit information on accounts receivable problems, close jobs, process expense reports. The candidate will have working knowledge of ERP and Project Management Tools. The position involves working regularly with the Traffic & Freight Manager to coordinate shipping dates and destinations, provide information on deadlines.
The essential functions include, but are not limited to the following:
- Monitor and oversee production, ensuring that project specs are met.
- Oversees that engineering and production problems are solved.
- Monitor budget and report problems to Operations Manager.
- Request production and setup drawings and maintain drawings files.
- Keep files and logs on all billing information (example, Purchase Orders)
- Close out jobs, including check of labor and materials, write-up of work performed, list of chargeable extras, and justification of overtime and extra charges.
- Ensure that exhibit shipment is complete when it leaves the plant.
- Perform other duties as needed and directed.
