Role description: The Event Services Manager is responsible for the planning and coordination of events. This role ensures seamless event operations, exceptional customer service, and effective collaboration with clients, vendors, and internal teams. The Event Services Manager plays a key role in ensuring that events are executed on time, within budget, and to the highest quality standards.
Responsibilities:
- Planning: Work directly with clients to plan all details of an event, including but not limited to, developing accurate event timelines, final food and beverage selections, entertainment, set-up, and staffing. Create proposals, BEOs, diagrams and signage.
- Communication: Communicate with clients, vendors, operations staff, and other internal stakeholders to ensure that needs are met and that everyone is informed. Lead/attend weekly BEO meetings.
- Customer service: Build strong relationships with clients, stakeholders, and vendors to ensure successful event outcomes. Manage the client service process, respond to client input, and ensure that clients are satisfied. Secure final payment and settle any billing variances post event.
- Vendor management: Oversee vendor deliverables and ensure timely arrival, setup, and breakdown of equipment and services. Ensure compliance with all contracts, policies, and procedures.
- Staff management: Handle event staffing, including training, and supervising staff. Oversee event setup, execution, and teardown, ensuring smooth operations and adherence to timelines.
- Problem resolution: Troubleshoot issues that arise during events, making real-time adjustments as necessary.
- Reporting: Collect and analyze event data, feedback, and metrics to evaluate success and identify areas for improvement. Maintain records and documentation of all events for future reference.
Qualifications:
- Strong organizational, communication, and coordination skills with excellent attention to detail.
- Excellent negotiation and interpersonal skills.
- Ability to meet deadlines in a fast-paced environment, works well multitasking, and is a team player.
- Ability to communicate in a professional and effective manner in dynamic guest service environment.
- Strong problem-solving skills and the ability to remain calm under pressure.
- Must be able to work flexible hours, including nights, weekends, and / or holidays.
- Proficient in Microsoft Office Suite (Word, Outlook, Excel). Triple Seat experience preferred.
