Spotsylvania County Public Schools is seeking an experienced Office Secretary to join our growing Division as we start the new year! The School Payroll Secretary is responsible for assisting in the prompt and accurate handling of payroll processes within a designated school location. This role may also support the processing of invoices, receipts of revenues and issue of payments to vendors in accordance with School Board policy.

Essential Job Functions
- Maintains and ensures the accurate preparation and balancing of all payroll records for employees at the designated school location
- Acts as the liaison between the assigned school and payroll to assists employees in resolving payroll issues
- Submits Employee Status Change forms for all new hires, transfers, changes in assignments, short / long-term leave, terminations, and sub-related changes
- Ensures absences are recorded in Smartfind Express
- Ensures the accuracy of the time clock program utilized by SCPS
- Collaborates with the Finance and the Human Resources departments, as required, to troubleshoot employee inquiries and ensure the adequate support of school-based personnel
- Prepares periodical payroll-related analysis, statements, and projections
- Audits and proofs payroll or other reports for clerical accuracy and conformance to school board policy
- Records and tracks leave of employees at the designated location
- Communicates changes in pay to employees
- Assists in the preparation and verification of all payroll-related reports
- Performs routine functions associated with the smooth functioning of the business office, including but not limited to processing mail, office reception, and other basic clerical duties as needed

Employment Terms : Employment may be offered as a 11-Month (220 Day) -OR- 12-Month (243 Day) contract, at a minimum of 7.5 hours worked per day. This position is evaluated annually.
