General Statement of Job
Under general supervision, the purpose of the position is to process, route, and track arrest warrants for the County. Employees in this classification perform clerical and technical work. Position is responsible for receiving and processing warrants; entering various data into the computer system including NCIC/VCIN; creating and entering police and other associated reports; and answering the telephone.
Special Duties & Responsibilities
- Processes, routes, and tracks arrest warrants for Spotsylvania County; receives warrants and reviews warrants for completeness; routes all warrants to the appropriate agencies; coordinates arrest warrants, and information indictments from various courts, magistrate, Commonwealth's Attorney, and other agencies.
- Performs data entry duties for various data including police reports, incident base reporting statistics, etc.; enters data into the Sheriff's Department Information System and the NCIC/VCIN; ensures all supporting data is correct.
- Answers the telephone; provides information to the general public; routes calls to the appropriate persons; receives, classifies, and refers clients for processing.
- Assists in the preparation of periodic special reports; maintains computerized files, records, and reports; assists with completion of standardized records; performs monthly and semi-annual audit of NCIC/VCIN records.
- Operates a variety of office equipment including the teletype machine, computer, printer, typewriter, copier, etc.
- Responds, by phone, to inquiries of the general public as to whether they are wanted by the agency; gives status requests from deputies and other agencies.
- Maintains daily contact with teletype center to clear subjects.
- Prepares all necessary forms related to legal document tracking; notifies other agencies when their documents have been served.
- Performs other related duties as required.
Minimum Training & Experience
High School Diploma or equivalent; supplemented by one (1) to two (2) years pf previous experience and/or training involving data entry, computer skills, clerical and record keeping skills; or an equivalent combination of education, training, and experience.
Must possess and maintains certification in the use of the Virginia Criminal Information Network.
Must pass background check and polygraph examination.
Must be able to type 40 words per minute
Special Requirements
- Knowledge of the methods, procedures and policies of Spotsylvania County as such pertains to the performance of the essential duties of Criminal Warrants Clerk.
- Knowledge of principles and practices of receiving, processing, and routing warrants and legal documents.
- Knowledge of Virginia laws, ordinances, standards, and regulations pertaining to the essential duties and responsibilities of the position.
- Knowledge of the organization of the department, and of related departments and agencies.
- Knowledge and understanding of any occupational hazards and adheres to any safety precautions inherent in performing the essential functions of the work.
- Knowledge of terminology and related professional languages used within the department as such pertains to work responsibilities.
- Ability to maintain cooperative and effective relationships with intra- and interdepartmental personnel, as well as any external entities with whom position interacts.
