What are the responsibilities and job description for the Case Aide II position at Spotsylvania County?
Under direct supervision, performs clerical work to assist the Benefits Program and/or Services Program Divisions. Employee must exercise independent judgement, discretion, and initiative in completing assignments. Employee must also exercise considerable tact, courtesy, and discretion in contact with program applicants, families, children, and the general public.
NOTE: Some employees in this position will require bilingual / translation abilities to assist customers over the telephone and in face-to-face interviews; translate written documents and correspondence; assist clients during the intake process; translate customer information for agency staff, and accompany staff on home visits (eligibility staff and services staff), when requested.
BENEFITS PROGRAM DIVISION AIDES:
- Assists Eligibility staff in various cases by completing computer inquiries and the inquiry form on all applications, evaluates information received from the applicant for consistency, accuracy and completeness.
- Assists in screening of all Eligibility applications to determine expedited criteria met or not, and appointment to be given.
- Assists clients who cannot complete applications on their own.
- Completes data entry to pend and assign all Eligibility applications and return case record to appropriate staff worker.
- Assists staff worker with Medicaid/SNAP/TANF reviews; completing inquiries, necessary correspondence and forms.
- Assists with the Energy Assistance program by providing data entry to pend and assign all applications, filing, inquiry completion and special reports.
- Organizes and maintains various reports, files and forms.
- Composes and types correspondence and forms; assumes responsibility for correctness of spelling, punctuation, format, and grammar.
- Completes mathematical computations a needed for Eligibility programs.
- Attends training as required.
- Researches a variety of databases to obtain and/or verify information needed to process referrals.
- Performs other related duties as required.
SERVICES PROGRAM DIVISION AIDES:
- Organizes and maintains various reports, files and forms.
- Composes and types correspondence and forms; assumes responsibility for correctness of spelling, punctuation, format, and grammar.
- Assists Services staff in various cases by completing computer inquiries, pulling case files, creating and mailing letters, filing cases, request and acquire death certificates, birth certificates, social security cards, etc.
- Organizes and maintains various reports, files and forms.
- Composes and types correspondence and forms; assumes responsibility for correctness of spelling, punctuation, format, and grammar.
- Completes Adult Protective Services Guardianship reports to include composing letters and entering information into database.
- Completes Accurint searches and mailing of letters to families.
- Assembles the after-hours Child Protective Services and Adult Protective Services On-Call calendar.
- Completes purging of files and records all purges on an excel spreadsheet.
- Transports children, families, and adult clients to and from the office or other locations for visitation purposes or transporting adult clients to and from for various appointments.
- Provides supervision of children during family partnership meetings and/or other meetings.
- Completes transcription of case notes and entry of notes into OASIS.12)
- Purchases and picks up supplies for workers.
- Assists with mailings for large projects, scanning and copying of large projects, front desk coverage, and vehicle relocation.
- Completes purchases of goods and items for clients and delivers the purchased goods/items to clients.
- Picks up items as requested from the storage unit.
- Maintains car seat log, removes expired car seats, purchases new car seats and completes the manufacture registration and safety work.
- Distributes subpoenas and summons that are received by the Department to the appropriate worker.
- Attends trainings and required unit meetings as required.
- Researches a variety of databases to obtain and/or verify information needed to process referrals.
- Performs other related duties as required.
High School Diploma or equivalent; two (2) years of experience in counseling or related social services work; or any equivalent combination of training and experience which provides the required knowledge, skills and abilities.
Note: Some positions will require knowledge of oral and written English and Spanish languages and one (1) year experience in translation; or an equivalent combination of training and experience which provides the requisite knowledge, skills and abilities for the position.

PHYSICAL REQUIREMENTS
Must be physically able to operate a variety of machines, tools and equipment, such as a motor vehicle, computer, printer, copy machine, facsimile machine, calculator, or telephone. Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or work station. Requires the ability to inspect items for proper length, width, and shape, visually with job related equipment. Requires the ability to coordinate hands and eyes in using automated office equipment and in operating motor vehicles. Requires the ability to handle a variety of items, equipment, control knobs, switches, etc. Must have the ability to use one hand for twisting or turning motion while coordinating other hand with different activities. Must have minimal/ levels of eye/hand/foot coordination. May require the ability to differentiate colors and shades of color. Requires the ability to talk and/or hear (talking - expressing or exchanging ideas by means of spoken words; hearing - perceiving nature of sounds by ear).
