Job Summary / General Purpose:
The Preventative Maintenance Coordinator is responsible for overseeing and managing the preventative maintenance programs for all Sprague’s marine terminal facilities across New York and New England. This role involves planning, scheduling, and coordinating maintenance activities to ensure the continuous and efficient operation of terminal equipment and facilities. Additionally, this role is responsible for ensuring compliance with all applicable regulatory standards and requirements as they pertain to asset maintenance and conditions. The Coordinator will work closely with engineers, terminal management, maintenance teams, and external vendors to implement maintenance strategies that minimize downtime, extend equipment life, and ensure compliance with safety and regulatory standards.
Major Duties / Responsibilities:
• Develop and Implement Maintenance Plans: Create and manage comprehensive preventative maintenance schedules for terminal equipment and infrastructure, including pumps, piping, conveyors, storage tanks, and other terminal assets. Coordinate with terminal managers and maintenance teams to ensure timely execution of maintenance activities. Includes writing maintenance SOPs and outage plans to facilitate work.
• Maintenance Coordination: Monitor the performance and condition of equipment, identifying potential issues before they lead to equipment failure. Coordinate with external vendors and contractors for specialized maintenance and repairs. Ensure maintenance activities are conducted in compliance with company policies, safety regulations, and environmental standards. Prioritize and schedule maintenance tasks based on urgency, resources, and availability.
• Inventory and Parts Management: Oversee the inventory of major/critical spare equipment, ensuring that critical components are available when needed. Work with engineering and operations team members to order necessary parts and manage vendor relationships.
• Documentation and Reporting: Maintain accurate records of all maintenance activities, including work orders, inspection reports, and equipment logs. Prepare and present regular reports on maintenance performance, equipment reliability, and costs to management.
• Continuous Improvement: Analyze maintenance data to identify trends and opportunities for improving maintenance practices. Implement best practices and innovative solutions to enhance the efficiency and effectiveness of the preventative maintenance program.
• Team Leadership: Provide guidance and training to maintenance staff on preventative maintenance procedures and safety protocols. Foster a culture of proactive maintenance and continuous improvement within the maintenance team.
• Occasional travel required.
Education / Experience / Skill Requirements:
• High School Diploma or GED required with 10 years of experience in an industrial maintenance setting required.
OR
• 5 year’s experience with Associate’s or Bachelor’s degree in Engineering, Industrial Maintenance, or a related field.
• Strong understanding of preventative maintenance principles and practices.
• Proficient in using Computerized Maintenance Management Systems (CMMS) and other maintenance planning tools.
• Excellent organizational and time-management skills.
• Strong problem-solving abilities and attention to detail.
• Effective communication and interpersonal skills, with the ability to work collaboratively with diverse teams.
• Knowledge of safety and regulatory requirements in a marine or industrial setting.
• Self-starter with demonstrated record of pro-active contributions and ability to successfully implement company goals.
• Valid driver’s license.
• Ability to pass a background check and obtain a TWIC (Transportation Worker Identification Credential)
