Position Overview:
The Accountant will be responsible for overseeing the financial health of the company, including month-end closing, tax reporting, financial statement preparation, and coordination with external auditors and banking institutions. This role is part-time and requires 24 hours per week in the office.
Key Responsibilities:
Accounting & Month-End Closing:
- Prepare and post monthly labor distribution reports and payroll-related journal entries.
- Accrue and reverse labor costs based on pay periods.
- Maintain and update amortization, interest accrual, and fixed assets spreadsheets.
- Calculate and post reserves for accounts receivable and inventory.
- Reconcile prepaid accounts and expense them accordingly.
- Post bank transactions, including debit card charges, ACH payments, and miscellaneous deposits.
- Analyze cost of sales reports and ensure accurate financial posting.
- Assist in monthly bank reconciliation and post necessary adjustments.
- Review preliminary financial statements for accuracy and completeness.
- Prepare monthly financial statement packages for senior management.
Tax Reporting & Compliance:
- File and pay monthly Michigan sales tax via the state website.
- Report and pay Washington State Excise Tax and quarterly labor-related taxes.
- Prepare 1099 data for vendors and coordinate with external accountants for distribution.
Banking & Financial Management:
- Monitor and communicate high-value deposits to the bank.
- Request advances and paydowns on the line of credit as necessary.
- Submit quarterly financial reports to the bank.
- Manage and respond to requests from loan officers.
Annual Audit & Insurance:
- Coordinate with external auditors, providing required financial records and spreadsheets.
- Participate in annual inventory reconciliation and investigate discrepancies.
- Assist in reviewing and updating internal control procedures.
- Work with insurance brokers to review policy renewals and coverage levels.
- Complete insurance audits and distribute insurance charges properly.
General Financial Oversight:
- Provide financial insights to the President regarding internal controls, cash flow, and major expenses.
- Maintain communication with key stakeholders regarding financial matters.
- Ensure timely payments of loans and reconcile accounts quarterly.
- Review and approve bank reconciliations.
Qualifications & Requirements:
- Experience: Minimum of 3 years in accounting, finance, or a similar role.
- Education: Bachelor’s degree in Accounting, Finance, or related field.
- Skills:
- Knowledge of GAAP accounting principles.
- Proficiency in accounting software (QuickBooks, Sage, or similar) and Excel (spreadsheets, formulas, reconciliations).
- Detail-oriented with excellent analytical and problem-solving skills.
- Ability to manage multiple priorities while meeting strict deadlines.
- Strong communication skills to collaborate with leadership and external parties.
